About the Role

The role involves supporting the management of the agency online gift shop redemption process for Agency Distribution division; ensuring the sourcing and restocking of both tangible and intangible reward items; and coordinating the fulfillment of rewards at both regional and national levels.

1. Contest and Campaign Reward Fulfillment (Nationwide and Regional):

  • Coordinate with requesters/point-of-contact (PIC) for reward fulfillment, including packing and distribution arrangements.
  • Verify and process courier payments against consignment notes (CN).

2. Gift Store Management and Redemption Fulfillment:

  • Issue blanket purchase orders (PO) for gift store items, maintaining a tracking record for repeat orders and full PO utilization.
  • Update the “Tracking Record” for high-value items sourced by HQ, including sunglasses, gift cards, e-vouchers, and other items. This includes handling packing, consignment note preparation, insurance, and delivery coordination.
  • Process purchase requests for packing materials (e.g., masking tape, markers) through Ariba and coordinate courier material requisitions.
  • Act as the liaison for managing returned parcels, coordinating redirection with the outsourcing company and Helpdesk.

3. Reporting and Inventory Management:

  • Prepare reports, including:
    • Monthly and year-to-date (YTD) redemption statistics.
    • Cost analysis (profit and loss).
    • Inventory tracking reports.
    • Agent coin deductions due to redirection.
    • Conduct system and physical stock inventory checks for HQ and outsourcing companies.
    • Manually issue confirmation orders for stock replenishment and new orders.

4. Fulfillment Coordination:

  • Consolidate daily order requests from the Helpdesk, encrypt files for secure communication, and share passwords as per company compliance.
  • Verify and process payments for courier and outsourcing fulfillment services.
  • Address queries from the Helpdesk and other departments.
  • Act as the primary liaison between outsourcing companies, vendors, and internal teams to ensure seamless fulfillment processes.

5. Process Improvement and Events Coordination:

  • Conduct monthly/quarterly sync-up sessions with fulfillment companies to address gaps, improve processes, and enhance communication.
  • Coordinate the ALPA Gift Store booth for major company events such as Mid-Year Congress, MDRT Day, National Business Kick-Off, and National Annual Awards Presentation.
  • Highlight and follow-up on system errors and recommend enhancements to the Helpdesk and Agency Technology team for continuous improvement.

Job Requirements:

  • Holds a Bachelor’s degree from a reputable university with at least 1 year of experience in the insurance industry.
  • Possesses a positive attitude and excels as a collaborative team player.
  • Proficient in Microsoft Office applications, including MS Excel, PowerPoint, Word, and Power BI.
  • Flexible and willing to work extended hours or weekends to meet critical deadlines.
  • Open to traveling to vendor offices for stock audits, branch visits, or participation in major events for ALPA Gift Store promotions.
  • Exceptional interpersonal and communication skills, with proficiency in written and verbal communication, and a strong ability to build connections and engage effectively with others.
  • Demonstrates strong attention to detail and a commitment to delivering high-quality results.
  • Highly efficient, organized, and capable of managing multiple deliverables effectively.
