Position Overview: The Facility and Outsource Manager is responsible for ensuring the efficient operation, maintenance, and management of a company’s physical facilities while overseeing and coordinating outsourced services. Key Responsibilities: 1. Vendor and Outsource Management: • Identify, select, and negotiate contracts with external service providers (e.g., cleaning, security, catering, maintenance, landscaping). • Monitor outsourced services to ensure quality, timeliness, and adherence to agreed service levels. • Evaluate vendor performance regularly and address any deficiencies or issues. • Maintain strong relationships with service providers to ensure long-term partnerships. 3. Budget and Cost Management: • Develop and manage the facilities and outsourcing budget, ensuring cost-effectiveness without compromising quality. • Track expenses, review invoices, and make recommendation of payments for outsourced services. • Identify opportunities for cost savings through process improvements or renegotiated contracts. • Develop and implement cost saving initiatives without compromising the service quality of the University. 4. Strategic Planning and Improvement: • Develop long-term facility and outsourcing strategies to support organizational growth plan. • Implement best practices in facility management and outsourcing. • Monitor trends in facilities management and recommend updates to policies or processes. 5. Stakeholder Collaboration: • Collaborate with internal departments to understand facility needs and resolve issues. • Act as the primary point of contact for facility-related matters, including emergencies and incident management. 6. Reporting and Documentation: • Maintain accurate records of facility operations, contracts, vendor agreements, and maintenance schedules. • Prepare regular reports on facility and outsourcing performance, including KPIs and cost analyses. Qualifications and Skills: • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or a related field. • Poses certificate of Chargeman A4 form Energy Commission. • Proven experience in facility management and vendor/outsourcing coordination (More than 10 years experiences). • Strong knowledge of building systems, safety regulations, and compliance standards. • Excellent negotiation, communication, and interpersonal skills. • Problem-solving skills and the ability to manage multiple priorities effectively. • Budget management experience and cost-saving mind set. • Experience working with large-scale facilities or multiple sites.
