Job Description: 1. Administrative Support for Sales Team • Assist the sales team with day-to-day administrative tasks, including preparing quotes, proposals and sales orders. • Maintain accurate and up-to-date records of sales activities, client communications and contracts. • Handle correspondence, including emails, phone calls and follow ups related to sales activities. • Update and maintain the customer database, ensuring that all information is accurate and current. 2. Cash Collection & Payment Management • Manage and monitor cash collection from clients, ensuring payments are made according to agreed terms and conditions. • Coordinate with clients regarding outstanding invoices and payment schedules. • Ensure timely follow-up with clients for overdue payments, and assist in resolving any payment-related issues. • Assist in preparing financial reports, tracking payment statuses, and generating invoices when needed. 3. Document Management • Maintain and organize all sales related documentation including contracts, client agreements and payment records. • Prepare and file reports, invoices and receipts for record-keeping and audit purposes. • Ensure compliance with internal procedures and policies for documentation and payment processing. 4. Client & Team Communication • Act as point of contact for client regarding payment inquiries, sales order status, and project updates. • Communicate effectively with internal teams to ensure project timelines and payment collection schedules are met. • Provide clients with updates on payment status, pending amounts and ensure they are informed throughout the process. 5. General Administrative Support • Assist in organizing team meetings, preparing materials and taking minutes when required. • Support the sales team with any ad-hoc administrative tasks to ensure efficient operations. • Assist in maintaining office supplies and ensuring smooth day-to-day operations within the department.
