Administrative Support

  • Manage and organize office files, records, and documents (physical and electronic).
  • Oversee office supply inventory and ensure timely procurement.
  • Prepare reports, correspondence, and presentations as required.

    Office Operations

    • Handle phone calls, emails, and inquiries, directing them to appropriate departments.
    • Coordinate and schedule meetings, appointments, and travel arrangements for staff.
    • Ensure office equipment is maintained and functioning.

      Human Resources Support

      • Assist in onboarding new employees, including setting up workstations and coordinating orientation.
      • Maintain and update employee records in accordance with company policies.

        Finance & Procurement

        • Process invoices, expense claims, and petty cash management.
        • Collaborate with vendors and service providers to manage contracts and payments.

          Compliance & Governance

          • Ensure adherence to company policies and local regulations.
          • Support documentation and filing requirements for audits and compliance purposes.

            Event Coordination

            • Organize and manage internal and external events, such as team-building activities and meetings.
            • Coordinate logistics for corporate visits and workshops.

Education & Experience

  • Diploma or Degree in Business Administration, Office Management, or a related field.
  • Proven experience (2-3 years) in an administrative or executive assistant role.

    Skills

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Excellent communication skills in English and Malay; proficiency in Mandarin is an advantage.
    • Strong organizational and multitasking abilities.
