1. Basic Function of Human Resource Executive Managing all aspects of human resources, including but not limited to recruitment, on-boarding, training, general HR administration & work closely with management to support strategic HR initiatives and contribute to the overall success of Approved Group International and its related companies (AFSB, ACPL, ALCSB AC(I)PL etc) 2. Duties & Responsibility - Activities include but not limited to: Payroll Management • End-to-end accurate and timely payroll processes (AFSB, PT ACI, ACPL, ALCSB) • Ensuring the laws and regulations including statutory, tax obligations & reporting requirements are adhered • Reconciling payroll data and providing reports to finance teams • Involve in yearly staff tax document compilation • Manage salary calculations in accordance to latest Employment Act Compensation and Benefits • Administer employee benefits programs, insurance & leave • Conducting job salary benchmarking to ensure it is aligned with current market trends and competitive • Assist expatriates with benefits enrolment options such as SOCSO, Tax Declaration & Medical • Document & compile Payroll Reports for HR record keeping Performance Management • Administering performance appraisal processes • Providing guidance to Vice Presidents & Head of Departments on employees on performance management matters Employee Relations • Handling employee concerns and inquiries, conflicts or disputes, grievances & disciplinary action • Ensuring company policies are aligned with latest Employment Act 1955. • Updating company policies to incorporate any new initiatives by the management Employee Management • Regularly provide information and reminders to employees regarding company policies • To ensure email issued when new information is released by management Expatriate Management • Management of all expatriates’ process of Employment Pass, Dependant Pass & Resident Pass application & renewal • Adhere to the timeline provided by Expatriate Services Division & Talent Corp to initiate & prepare the required documents for the application & renewal process • Tax Clearance for all expatriates. Recruitment & Talent Engagement • Job postings with detailed & clear structure of the job responsibilities, job requirements and qualification • Utilize effective screening and interviewing techniques to ensure the hiring of qualified candidates. • Oversee and manage the end-to-end recruitment process, including but not limited to internal and external job advertisements, online postings, and collaboration with recruitment agencies, drafting of contracts. • Actively participate in recruitment activities, conducting interviews, checking references, background screening and selecting candidates based on defined selection criteria and company policies. • Conduct employee on-boarding, orientation and introductory training sessions. General HR Matters • Employee leave processing, general inquiry regarding staffs’ wellbeing, annual performance, bonuses, salary review exercise • Allocating, Monitoring & Recording company asset assigned by HR department such as lap tops, cameras, corporate attire & tools • To apply APEC card and Indonesia Business Visa for consultants travelling overseas • Creating Job Descriptions for new openings & revising Job Descriptions for promoted employee • Off-boarding, exit interviews, take-over of company assets • Maintaining company organizational charts Training Management • Training Need Analysis, HRDF claims, Training Request Approval & coordination with Training Provider to deliver training programs • Public Training – end to end preparation including logistics, refreshments, venue preparation, certificates Duties & Responsibility - Activities include but not limited to: i. Filing and Record Keeping: • Maintain an electronic and hard copy filing system. • Ensure accuracy and confidentiality in all matters. ii. Adherence to Standard Practices: • Adhere to standard practices and administrative Standard Operating Procedures (SOP). iii. Other Duties: • Perform any other related duties as directed for this role. Knowledge, Skills & Attributes Knowledge • Knowledge of Employment Act 1955 and regulations relevant to the jurisdiction of the organization. • Understanding of recruitment strategies and techniques, including sourcing and interviewing. • Familiarity with training needs analysis and development of training programs. • Experience in policy development and implementation. Skills • Strong understanding of HR practices, policies, and procedures. • Excellent interpersonal written & oral communication and interpersonal skills, with the ability to interact effectively at all levels of the organization. • Good organizational skills with attention to detail and the ability to handle multiple tasks simultaneously. • Proficiency in MS Office (Word, Excel, PowerPoint) and HR software applications.
