Job Summary:
The Event Executive is responsible for planning, coordinating, and executing events that align with the company's objectives. This role requires strong organizational skills, creativity, and the ability to manage multiple projects while ensuring seamless event execution.
Key Responsibilities:
- Event Planning & Coordination:
- Assist in the planning, organization, and execution of events, including conferences, trade shows, corporate events, and promotional campaigns.
- Work closely with internal teams, vendors, and stakeholders to ensure event success.
- Develop event timelines, budgets, and logistics plans.
- Prepare proposal and quotations for clients
- Vendor & Venue Management:
- Identify and liaise with venues, caterers, decorators, AV teams, and other suppliers.
- Negotiate contracts and manage relationships with vendors to ensure cost-effectiveness and quality service.
- Marketing & Promotion:
- Collaborate with the marketing team to develop promotional materials and event campaigns.
- Assist in social media promotions and event-related communications.
- On-site Event Execution:
- Oversee event setup, registration, and coordination on the day of the event.
- Ensure smooth operations and troubleshoot any issues that arise.
- Manage event staff and volunteers as needed.
- Post-Event Evaluation:
- Gather feedback and analyze event success.
- Prepare post-event reports, including budget reconciliation and key takeaways.
- Suggest improvements for future events.
Requirements & Qualifications:
- Bachelor’s degree in Event Management, Marketing, Business, or a related field (preferred).
- 1-3 years of experience in event planning or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and negotiation abilities.
- Ability to work under pressure and meet deadlines.
- Proficiency in MS Office and event management software is a plus.
- Willingness to work flexible hours, including evenings and weekends, when required.
