Customer Service Representative
Front Desk & Patient Assistance
• Greet patients with a warm, professional demeanor.
• Assist with appointment scheduling, rescheduling, and cancellations.
• Provide accurate information regarding clinic services, treatments, and promotions.
• Handle patient inquiries in person, over the phone, and via WhatsApp/social media messages.
Registration & Billing Support
• Guide patients through the check-in and check-out process efficiently.
• Ensure accurate entry of patient details into the clinic’s system.
• Process payments, issue receipts, and explain treatment costs if needed.
• Assist in verifying insurance coverage and handling claims where applicable.
Customer Experience & Retention
• Follow up with patients after treatments to ensure satisfaction and encourage feedback.
• Address and resolve any patient concerns professionally and empathetically.
• Maintain a positive and inviting atmosphere in the clinic.
• Manage patient loyalty programs and special promotions.
Patient Feedback & Reporting
• Collect feedback from patients regarding their experience and treatment satisfaction.
• Use feedback forms, online reviews, or direct conversations to gather insights.
• Compile and organize feedback reports for clinic administration on a weekly/monthly basis.
• Work with the admin and management team to improve service quality based on patient input.
Administrative Support
• Maintain clinic cleanliness and organization at the reception area.
• Update patient records and appointment schedules.
• Coordinate with the dental team to ensure smooth daily operations.
• Assist with social media engagement and responding to inquiries online.
