FULL JOB DESCRIPTION We are seeking a detail-oriented and organized Estate Clerk to assist in the administration and management of estate operations. The Estate Clerk will be responsible for maintaining accurate records, supporting the management team with various clerical tasks and ensuring that day-to-day operations of the estate run smoothly. This is a key support role requiring a high degree of accuracy, discretion and a good understanding of estate management procedures. KEY ACTIVITIES / ACCOUNTABILITIES: 1. Perform all clerical and administrative duties as assigned by the Manager. 2. Sort and distribute all incoming mail and prepare general correspondence. 3. Communicate with clients and employees, responding to any queries or complaints. 4. Assist in the operation and general maintenance of office equipment, such as printers, lighting, and photocopiers. 5. Record, compile, and maintain daily worker attendance, wages, new staff, resignations, leave applications, and update employees' personal data. 6. Update and maintain data in Pinfoweb. 7. Record daily weighing bridge data for incoming and outgoing lorries. 8. Maintain weekly records for harvesting and loading FFB. 9. Prepare and submit monthly utility bill payments to HQ. 10. Check payroll for all workers, staff, and contract employees on a monthly basis. 11. Prepare and submit the estate’s monthly MPOB statement and progress report to HQ. 12. Update the schedule waste stock card and submit it to HQ. 13. Perform monthly checks for all license renewals. 14. Prepare JKKP meeting minutes for MSPO. 15. Organize FOMEMA and passport renewals for all foreign workers. 16. Complete any other ad-hoc tasks as assigned by the supervisor. QUALIFICATIONS: Education SPM or equivalent required or related field preferred. Experience Minimum of 1-2 years of administrative experience, preferably in estate management, real estate or property management. PREFERRED SKILLS: 1. Proficient in Microsoft Office Suite (Excel, Word, Outlook) 2. Strong written and verbal communication skills 3. Detail-oriented with excellent organizational abilities 4. Ability to handle confidential information with discretion 5.
