Job Summary:

  • We are seeking a highly organized and detail-oriented Administrative Executive to join our team.
  • The ideal candidate will be responsible for providing comprehensive administrative support to ensure the smooth operation of our office.
  • This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.

    Key Responsibilities:

    Office Management:

    • Oversee the day-to-day operations of the office, especially weekly events JPJ TEST AND CLASSES.
    • Ensure the office is well-maintained, stocked, and organized.
    • Manage office supplies inventory and place orders as necessary.

      Administrative Support:

      • Provide administrative support to senior management and other staff members.
      • Schedule and coordinate meetings, appointments, and travel arrangements.
      • Prepare and distribute correspondence, memos, minutes, and forms.

        Document Management:

        • Maintain and update filing systems, both electronic and physical.
        • Handle confidential documents with discretion.
        • Assist in the preparation of reports, presentations, and other documents.

          Communication:

          • Serve as the first point of contact for customers and callers.
          • Handle incoming and outgoing mail and emails.
          • Liaise with problematic customers.

            Event Coordination:

            • Assist in the planning and execution of company events and meetings.
            • Coordinate logistics, including venue booking, catering, and equipment setup.

              Financial Administration:

              • Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
              • Monitor and reconcile petty cash.

                Compliance:

                • Ensure compliance with company policies and procedures.
                • Assist in the implementation of administrative policies and procedures.

Education:

  • Diploma or Bachelor’s degree in Business Administration, Management, or a related field preferred.

    Experience:

    • Proven experience as an Administrative Executive, Administrative Assistant, or similar role.
    • Experience with office management systems and procedures.

      Skills:

      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
      • Excellent organizational and time management skills.
      • Written and verbal communication skills, especially in Bahasa Malaysia.
      • Ability to work independently and as part of a team.
      • Attention to detail and problem-solving skills.
