Role Purpose
Responsible for maintaining an organized filing system for policies, manuals, and documents to ensure regulatory compliance. Provide comprehensive support for iPad operations, security, and optimization, ensuring all ground tools are properly configured and functional. Conduct training on iPad features, productivity tools, and best practices. Oversee the implementation and upkeep of the Electronic Flight Bag (EFB), ensuring e-Ops documents remain current and legally compliant. Support the safety and security of MASwings Flight Operations.
Key Accountability
- Assist in developing and maintaining a centralized e-document system for Flight Operations, including organized filing for policies, manuals, and operational documents to ensure regulatory compliance.
- Implement cost-effective document management solutions, focusing on efficiency and accessibility for Flight Operations personnel.
- Preparing and submitting the annual budget and business plan for Documentation Management.
- Oversee general administrative functions, including IT support, contract management, payment processing, and procurement.
- Coordinate department schedules, programs, and meetings to facilitate smooth operations
- Support the creation and distribution of official memos, circulars, and publications to ensure consistent communication across the department.
- Assist in the execution of the Business Continuity Plan (BCP) for Flight Operations, ensuring preparedness and effective responses.
- Configure, update, and provide ongoing technical support for iPad devices used by Flight Operations staff, ensuring device functionality, security, and compliance with company policies.
- Act as the liaison with the IT team for security measures, inventory management, and device tracking.
- Track iPad usage and analyze patterns to identify opportunities for improvement, suggesting optimizations and implementing best practices for device management.
- Maintain accurate records of iPad configurations, support requests, and inventory details.
- Support users on Mobile Device Management (MDM) solutions and provide direct assistance for troubleshooting and setup.
- Perform other administrative and technical tasks as assigned by Senior Executive, Document Management, contributing to the efficient operation of Flight Operations.
- Degree in any field with 1 year any relevant working experience and / or;
- Diploma/STPM with 3 years any relevant working experience.
- Knowledge of flight operations and procurement policy and procedures is an advantage.
- Strong verbal and written communication skills as well as proficiency with computers, especially MS Office.
- Must be meticulous to details and process-driven.
- Excellent communication and interpersonal skills. Acquired internal Lead Auditor Certificate is an advantage.
