We are seeking a meticulous and detail-oriented Human Resources Assistant to join our team. The ideal candidate will have a sharp eye for detail, be highly organized, and demonstrate a particular focus on accuracy in all HR-related tasks.
Job Description:
1) Administrative Support:
- Handles administrative duties such as maintaining employee records, filing, and processing paperwork.
- Assists with HR documentation, including leave applications, medical certificates, and contracts.
2) Data Entry:
- Inputs employee information into HR software (info-tech) and ensures the accuracy of records.
- Updates timekeeping systems with clock-in/out data, property update/tagging and etc.)
3) Recruitment Assistance:
- Assists in the recruitment process by posting job ads, scheduling interviews, and communicating with candidates.
- Prepares onboarding materials and coordinates with new hires regarding their orientation schedule.
4) Employee Relations:
- Acts as a point of contact for employees regarding HR-related queries (e.g., leave balances, benefits, and policies).
- Assists in resolving employee issues by directing them to the relevant HR staff or resources.
5) Event Coordination:
- Helps plan and coordinate employee events, such as training sessions, team-building activities, and company celebrations.
6) Ad-hoc Task:
- Monitoring maid/cleaner in daily cleaning job by using cleaning daily checklist.
- Replace emergency aid kit (before expiry).
- Ensure all the workplace is safe and in a good condition.
- Purchase any expenses as assigned (stationary, decoration, food pantry, order meals for meeting, buy gift for resign staff and etc.)
- Dealing with supplier for plumber/technician for renovation purpose.
- Monitor security guards task.
- Duplicate keys set (locker, drawer and etc.)
- Any ad-hoc task as assigned,
Qualifications & Requirements
- Diploma/Bachelor’s degree in Human Resources, Business Administration, or a related field.
- At least 1 years of experience in HR Assistant/Generalist/HR Admin or a similar role.
- Exceptional attention to detail and ability to manage multiple tasks efficiently.
- Possess high level of integrity, initiative, commitment and sense of urgency.
- Strict discipline in maintaining confidentiality.
- Strong interpersonal and communication skills.
- Proficient in HR software and Microsoft Office (Word, Excel, PowerPoint).
- Good knowledge in IT or any editing skills is an added advantage (canva/cap cut)
- Age requirement 23 to 30 years old.
