Senior HR Executive (Performance Management)
JOB SUMMARY
The Senior Performance Management Executive is responsible for managing and enhancing the performance management framework, ensuring alignment with organizational goals. The role includes overseeing employee performance appraisals, confirmation processes, mid-term reviews, and performance improvement plans (PIP). Additionally, this role focuses on succession planning, knowledge transfer, skill gap analysis, and maintaining accurate job descriptions to drive a high-performance culture in the retail industry.
Job Responsibilities: -
1. Employee Confirmation Process
- Oversee the probation confirmation process, ensuring timely assessments and feedback for new hires.
- Collaborate with line managers to evaluate employee performance during the probation period.
- Ensure proper documentation and communication of confirmation status to employees.
2. Performance Appraisals and Mid-Term Reviews
- Manage the annual performance appraisal cycle, ensuring adherence to timelines and accuracy.
- Conduct mid-term reviews to assess progress and provide actionable feedback to employees and managers.
- Support managers in setting Key Performance Indicators (KPIs) and objectives for their teams.
- Provide guidance to managers and employees on performance evaluation processes and tools.
3. Performance Improvement Plans (PIP)
- Develop and implement Performance Improvement Plans (PIP) for employees not meeting performance standards.
- Work closely with managers to monitor progress and provide ongoing support to employees on PIP.
- Document PIP processes and outcomes in compliance with company policies.
4. Succession Planning
- Identify critical roles within the organization and develop succession plans to ensure business continuity.
- Collaborate with department heads to identify and develop high-potential employees for key roles.
- Monitor and update succession plans regularly to reflect organizational changes and employee development.
5. Knowledge Transfer and Skill Gap Analysis
- Facilitate knowledge transfer initiatives to ensure continuity of skills and expertise across teams.
- Conduct skill gap analyses to identify areas requiring training or development within the workforce.
- Collaborate with the Learning & Development team to address skill gaps through targeted training programs.
6. Job Descriptions
- Create, update, and maintain comprehensive job descriptions for all roles within the organization.
- Ensure job descriptions accurately reflect role responsibilities, competencies, and reporting structures.
- Use job descriptions to support performance evaluations, recruitment, and training initiatives.
7. Data-Driven Performance Insights
- Analyze performance data to identify trends, strengths, and areas for improvement.
- Prepare detailed performance management reports for senior management, highlighting key insights and recommendations.
- Use analytics to track the effectiveness of performance improvement initiatives.
8. Stakeholder Engagement and Support
- Serve as a point of contact for employees and managers regarding performance-related inquiries.
- Provide training and coaching to managers on conducting effective performance reviews and feedback sessions.
- Collaborate with HR colleagues to ensure alignment between performance management, talent development, and organizational goals.
All ad hoc job-related functions as and when required.
Key Competencies and Skills
- Strong understanding of performance management frameworks and best practices.
- Excellent analytical skills to interpret performance data and identify trends.
- Proficiency in HRIS and performance management tools.
- Advanced skills in Microsoft Office Suite (Excel, PowerPoint, Word) for creating reports and presentations.
- Strong communication and interpersonal skills to engage with employees and stakeholders.
- Detail-oriented with excellent organizational and time management skills.
Education
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
Experience
- At least 4–6 years of experience in performance management, preferably in the retail or fast-paced industry.
- Hands-on experience with performance appraisal systems, PIP processes, and succession planning.

Pay: RM2,800.00 - RM3,300.00 per month
