Proactively responsible to provide support to all employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the company and others are positive and productive. 1. Invoicing - Manage and ensure the record accuracy of new / existing customer database. - Ensuring the accuracy of pricing information can significantly improve financial report empowering the company more effective to develop future planning. - Ensure the accuracy of the invoicing, or related sales documents dan data entry. - Minimize the occurrence of bad debt customer by proactively informing customers about the outstanding amounts and encourage payment on time. 2. Office Supplies - Assist in implementation of safe and quality handling practices for food products by facilitating the provision of sufficient Personal Protective Equipment (PPE) for food handlers. - Assist personnel in the proper distribution of chemicals to handle the tools, equipment, facilities and workplace cleaning purposes. - Mitigate the risk of chemical misuse by ensuring that chemicals are stored in designated area and use correctly. - Facilitate smooth task execution for all personnel by ensuring they have an adequate supply of stationary. 3. Administrative Duties - Handling basic office tasks, such as filing, phone calls, and data entry. - Assist in organizing and scheduling appointments, meetings, and events. - Implementing visitor screening and directing processes ensures that visitors are efficiently guided to the appropriate person in charge. - Collaborate with Maintenance Team / Cleaner for ensuring the company’s facilities and building is well maintain and kept. - Liaising with IT Vendor to ensure the company’s computer is well functions. - Monitoring and ensuring the business licensing, permit, vehicle road tax is up to date. - Contribute to the development of potential customer by collaborating with team members to prepare requested sample products and ensuring meticulous documentation of the process. - Efficiently manage the sending or receiving of parcels or documents, directing them to the appropriate recipient. - Coordinate with the storekeeper and engage with recycle vendors to maintain a consistently spacious recycling area. 4. Human Resources Duties - Assist in developing the company policies, procedures and business ethics codes and ensure that they are communicated and implemented. - Administer and liaise with relevant government departments, such as KWSP, PERKESO, and HRDF, on statutory matters. - Manage the recruitment process, including job postings, screening resumes, interviews arrangement, and onboarding new employees. - Assist in maintaining personal record like employment contracts, permit, attendance, leave. - Handling the foreign worker’s permit renewal process. - Maintain and update employees’ leaves record (Annual Leave, Unpaid Leve, Sick Leave, Absenteeism) and ensure the accuracy of payroll calculation to release on time. - Handling in any organizing in-house training programs and keep the all the training record up to date. - Assist in managing and administering employee benefits programs. - Provide support to other staff, fostering a culture of continuous improvement and collaboration working environment. - Prepare and submit HR-related reports to management, including headcount, turnover, and training metrics. 5. Cross Functional Team - Execute assigned duties and responsibilities in collaboration with cross-functional teams. 6. Others Record Keeping - Enhance the operational efficiency by ensuring that all documents in order and regularly updated. - Assist in establishment of the traceability system to ensure the all required documents are organized and in compliance.
