1. Building Operation and Maintenance Management

1.1. Monitor planned maintenance with regards to all electrical and mechanical equipment or facilities such as fire protection system, pumps, lift, gen-set etc.;

1.2. Carry out regular inspections and checks on the integrity and safety of the building;

1.3. Monitor daily operations in respect of cleaning, housekeeping, security etc. ;

1.4. Administer/supervise appointed service contractors for satisfactory discharge of duty;

1.5. Enforce house rules and regulations and to issue notice of breach or non-compliance where deemed necessary;

1.6. Call for quotations required for in the tender process – and thereto prepare comparison and summary reports and submit recommendations;

1.7. To monitor works on site undertaken by contractors engaged by the MC;

1.8. Undertake any ad-hoc assignments given by the MC

2. Administration

2.1 Monitor dispatching of periodic maintenance invoice to all owners;

2.2 Monitor and maintain proper record of payments received from owners or other sources, if any;

2.3 Attend to occupants’ inquiries and complaints;

2.4. Coordinate attendance to complaints and follow-up on status;

2.5 Manage Access card system;

2.6 Keep track of renewal of contracts/agreements for service providers and shop tenant and conduct negotiation;

2.7 Keep track and renew licenses issued annually by statutory bodies like JKKP, ST etc.;

2.8 To organize and to attend periodical meetings with the Management Committees (MC) for the purpose of briefing, monitoring or updates etc.;

2.9 To organize and prepare Annual General Meetings (AGM) or Extra-ordinary General Meeting (EGM);

2.10 To act as liaison between MC and Local Authorities like Commissioner of Building (COB), MPAJ, PTG etc. and organisations like PAS, TNB, TM, IWK, Banks, Tribunal etc.;

2.11 Undertake any ad-hoc assignment given by the MC

3. Accounts, Finance, Credit Control

3.1 Maintain and prepare for Building Management Fund Accounts (BMF);

3.2 Monitor and prepare payments for utilities and statutory payments – water and electricity bills, quit rent, insurance premium etc.;

3.3 Maintain and provide on a monthly basis a complete set of accounts, Creditors, Debtors Aging Report, Cash Flow Report and Bank Reconciliation;

3.4 Attend to and liaise with external auditors to complete the audit cycle;

3.5 Take action to collect arrears in maintenance fees and dues and institute recovery proceedings against defaulters if directed to;

3.6 Represent MC and file cases at the Tribunal;

3.7 To personally deposit cash/cheques collected

Job Type: Full-time

Pay: Up to RM4,000.00 per month
