Job Summary:
The Purchase Order (PO) Clerk is responsible for the accurate and timely processing of purchase orders for our frozen food manufacturing operations. This role requires meticulous attention to detail, strong organizational skills, and the ability to work effectively within a fast-paced environment. The PO Clerk will ensure that all requisitions are accurately entered, tracked, and processed in accordance with company policies and procedures.
Responsibilities:
- Receive, review, and process purchase requisitions from various departments, ensuring completeness and accuracy.
- Generate and issue purchase orders to approved suppliers in a timely manner.
- Maintain accurate and up-to-date records of purchase orders, including order details, delivery dates, and pricing.
- Follow up with suppliers on order status and delivery confirmation.
- Resolve discrepancies with invoices, purchase orders, and receiving reports.
- Communicate effectively with internal departments, including production, quality control, and finance, regarding purchase order status and any related issues.
- Maintain and update vendor information in the company's system.
- Assist with inventory management activities as needed.
- Adhere to company purchasing policies and procedures.
- File and maintain organized records of all purchasing documentation.
- Assist in the preparation of purchasing reports as required.
- Perform other duties as assigned by the Purchasing Manager.
Qualifications:
- Education: SPM (Sijil Pelajaran Malaysia) or equivalent.
- Experience: Preferably 1+ year(s) of experience in a purchasing or administrative role, preferably in a manufacturing environment. Fresh graduates with strong data entry and organizational skills are encouraged to apply.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent data entry skills with a high degree of accuracy.
- Strong organizational and time management skills.
- Ability to communicate effectively both verbally and in writing.
- Ability to work independently and as part of a team.
- Ability to prioritize tasks and meet deadlines.
- Attention to detail and problem-solving skills.
- Language: Fluency in [Specify languages required, e.g., English and Bahasa Malaysia].
Preferred Qualifications:
- Experience with purchasing software or ERP systems.
- Knowledge of frozen food manufacturing processes.
