Role Overview:
The Facilities & Maintenance Manager is responsible for overseeing the day-to-day operations of all client facilities, ensuring that the infrastructure is well-maintained, operational, and compliant with health and safety regulations. This role also includes attending to customer needs, addressing issues promptly, and ensuring a safe and efficient environment for both employees and visitors.
Key Responsibilities:
- Building Systems Management:
- Oversee and ensure the proper functioning of all building systems, including plumbing, HVAC (Heating, Ventilation, and Air Conditioning), electrical, and fire safety systems.
- Conduct regular inspections of these systems to identify and address any maintenance or repair needs.
- Coordinate and schedule preventive maintenance to reduce equipment failures and prolong the lifespan of systems.
- Customer Needs & Support:
- Respond promptly to customer inquiries or requests regarding facility issues, maintenance, or any concerns.
- Attend to customer needs by addressing complaints and providing solutions in a timely manner, ensuring customer satisfaction.
- Collaborate with the customer to schedule and prioritize maintenance work or special requests based on urgency.
- Facilities Operations:
- Ensure that the facilities are clean, safe, and comfortable for all occupants.
- Monitor and manage the facility’s daily operations, including temperature control, lighting, and overall cleanliness.
- Troubleshoot and resolve any facility-related issues promptly, ensuring minimal disruption to operations.
- Vendor and Contractor Management:
- Manage relationships with external contractors and service providers for specialized services such as cleaning, security, and specialized repairs.
- Coordinate the procurement of materials, tools, and services, ensuring contracts are cost-effective and meet the company’s quality standards.
- Oversee contracts and ensure services are delivered according to agreed terms.
- Health & Safety Compliance:
- Ensure that the facility adheres to health, safety, and environmental regulations.
- Conduct safety audits and risk assessments, implementing corrective actions as needed.
- Budget & Cost Control:
- Develop and manage the facilities’ budget, ensuring cost-effective operations and minimizing unnecessary expenses.
- Track maintenance expenses and approve invoices for services rendered.
- Identify opportunities for energy efficiency improvements and cost-saving initiatives.
- Emergency Management:
- Act as the primary point of contact for any facility-related emergencies.
- Coordinate emergency response efforts and ensure that emergency systems and procedures are in place and up to date.
Required Skills:
- Strong organizational, problem-solving, and multitasking abilities.
- Excellent communication skills, with the ability to coordinate with contractors, vendors, internal teams, and customers.
- Understanding of health and safety regulations and best practices.
- Proficiency in facilities management software and Microsoft Office Suite.
Qualifications:
- Bachelor’s degree in Facilities Management, Engineering, or a related field (preferred).
- Proven experience in facilities management or building maintenance.
- Previous experience in managing maintenance teams or service contracts is beneficial.
