- Manage and track all incoming and outgoing document for the project.
- To ensure all softcopy and hardcopy of the project is accessible and retrievable for team members.
- Manage the document management plan and update it, as needed
- Manage organizational documents go through a documented and approved review-and-approval process before being stored.
- Ensure the security, accessibility, and proper distribution of organizational documents.
- Help develop and enforce documentation design, review, and storage guidelines with the IT security manager, assign/approve user priveleges.
- Plan and conduct meetings, and presentations related to document management an to take minutes of meeting for project-based meeting.
- Able to create document fixed formats for templates.
- Maintain updated records of all approved documents and their distribution clearly.
- Work with business departments to put in place a Management of Records system to compliment the Document Management system and meet ISO 9001 requirements.
- Controlling the forms used to record data onto records and ensuring the records stay controlled as they are used, stored, and preserved.
- Shall be responsible for all duties necessary to create, edit, review, upload, copy, scan etc. to ensure Document Management is functional and successful.
- Owner, manager, and controller of Company Document Management System
- Liaise with IT services and business departments to manage the respective process documents.
- To prepare the handover document to client once project is finished.
- Liase with relevant authority on the PV System application or documentation
