Position: Admin Assistant
Location: Desa Pandan, Kuala Lumpur (Nearby MRT Tun Razak Exchange / LRT Pandan Jaya)
Basic Salary: Up to RM 2,500
Allowance: Mobile Allowance RM 400
Working Days / Hours: Mon – Fri / 9.00am – 5.00pm
Tenure: Permanent (6 months probationary period)
Requirements:
- Minimum SPM or STPM, Diploma in Business Administration, Human Resources or equivalent.
- Minimum 1 year of working experience in the administrative field in the security industry.
- Experienced in the tender submission process and MOF renewal via e-Perolehan system.
- Excellent written and communication skills in English and Bahasa Malaysia.
- Well-versed in using Microsoft Office and other spreadsheet applications.
- Able to start immediately.
Job Description:
- Maintain and perform a variety of daily administrative duties in order to ensure smooth running of Company business such as office equipment and stationery, handle incoming and outgoing calls and other day-to-day administrative duties.
- Prepare correspondences as and when required.
- Record and keep track of all incoming and outgoing correspondence information.
- Manage filing for all incoming and outgoing correspondences with systematic filing systems.
- Check Online Security Services Tender from time to time. If a company is qualified to tender, prepare & submit the required documents online before the deadline.
- Prepare and submit Tender offline as and when required by the Company.
- Monitor and follow-up for any assigned tasks.
- Renew Company licenses as following:-
- KDN – yearly (update details in KDN website from time to time/as and when required).
- DBKL – yearly
- PIKM – yearly
- KMM/MOF – 3 years once
- Liaise with external parties – Clients, Vendor, Government Departments & etc. for Company matters.
- Coordinate and assist with other sections of department as necessary to support smooth running of operation; thereafter achieve the department objective.
- Assist with some HR functions such as salary calculation, payslip preparation and attendance checking.
- Handle card registration for new guards in the government portal.
- Perform any other duties as management may require from time to time.
