KEY TASK

  • Responding to client calls and special requests.
  • Assist Managers in directing office information flow.
  • Building relationships with various organizations for special events promotion
  • Develop and organize group events and manage departmental communication.
  • Serve as a liaison between banquet service personnel and other staff members.
  • Hold event order meetings with servers for smooth service.
  • Conduct after-event evaluations to improve banquet functions.
  • Perform administrative duties like typing Hotel Sales Agreements, Proposals, correspondence letters, inventory of office supplies, and replenishing sales kit folders.
  • Handling special guest requests, maintaining calendars, answering phones, routing to sales staff, and handling mail, and faxes.
  • Maintain a professional appearance and able to work flexible hours.
  • Act as liaison between client and hotel for accurate and timely handling of group bookings.
  • Recording and updating banquet event orders and group resumes.
  • Ensure duty roster is submitted and prepared on time for payroll.
  • Preparing banquet and monthly forecasts based on tentative bookings and confirmed functions.
  • Updates sales contact periodically for email monthly blast.
  • Participate in monthly sales meetings and taking minutes.
  • Assist the Director of Sales in preparing for Corporate Rates and Contracted Rates.

REQUIREMENT

  • Graduates with at least a Diploma or Certificate in Hospitality studies, Sales & Marketing, Event Management, or Business Administration.
  • Preferred at least 1 year of experience in the same roles within the event company/hotel industry
  • Good analytical thinking and problem-solving abilities
  • Strong negotiation and communication skills
  • Proficiency in basic HR Management Systems, and Microsoft Office, internal ordering systems.
  • Familiar with hospitality POS systems; preferred IDB
  • Fluent in English and Bahasa, speaking and writing (Mandarin speaking is a plus point)
