Job Summary:
We are looking for a highly organized and proactive Admin Executive to oversee the day-to-day office administration and assist with various operational tasks. The successful candidate will play a key role in ensuring smooth office operations, managing staffing-related duties, handling attendance, supporting senior management with administrative needs, assisting with private & confidential matters, and contributing to company marketing activities and events.
Key Responsibilities:
- Serve as the primary point of contact for all office administration activities.
- Assist in coordinating staffing-related matters, including recruitment support and staff management.
- Handle People & Culture (P&C) matters, such as employee welfare, onboarding, and maintaining a positive workplace culture.
- Manage and track employee attendance, ensuring records are accurate and up-to-date.
- Organize and schedule factory visits, including travel and logistical arrangements.
- Handle administrative tasks for senior management, including meeting arrangements, calendar management, and correspondence.
- Maintain an organized filing system, both digital and physical, ensuring easy access to documents and records.
- Ensure office supplies and equipment are adequately stocked and maintained.
- Assist in organizing internal events, meetings, training and conferences as needed.
- Provide support for general office operations, including mail handling, answering calls, and coordinating with other departments.
- Support the marketing team with planning and executing company marketing activities and events.
- Assist with event logistics, including coordination, communication, and follow-up for company events or promotional activities.
- Assist with sales management tasks, such as preparing sales reports, tracking sales performance, and supporting the sales team with administrative needs.
- Assist in managing customer databases, updating client records, and ensuring timely follow-ups on sales inquiries.
- Coordinate between the sales team and other departments to ensure smooth operations and timely completion of tasks.
Qualifications:
- Proven experience as an administrative executive, office assistant, or similar role.
- Experience handling People & Culture (P&C) matters, including employee engagement, onboarding, and staff relations.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Ability to work independently and as part of a team.
- High level of attention to detail and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Experience or knowledge of Public Relations (PR) matters is an added advantage.
- Experience or interest in supporting marketing initiatives and event planning is a plus.
Education and Experience:
- High school diploma or equivalent; a degree in business administration, HR, marketing, or related field is a plus.
- Previous experience in office administration or a similar role preferred.
- Knowledge or experience in HR, P&C, employee relations, PR, or marketing is an advantage.
Working Conditions:
- Full-time position with standard office hours.
Job Type: Full-time
Pay: RM2,150.00 - RM2,550.00 per month
