Your Job Description: The HR & Admin Manager will oversee all aspects of human resources practices and processes, as well as administrative functions within the organization. This role is crucial for ensuring a positive work environment, fostering employee growth, and maintaining efficient administrative operations. Key Responsibilities: 1. Employee Lifecycle Management *Oversee and administer the entire employee lifecycle, including onboarding, maintaining personal records, and handling off-boarding from resignations or terminations. *Address and process disciplinary cases while managing related inquiries professionally. 2. HR Operations *Prepare HR and administrative documentation, including letters and memos. *Ensure employees adhere to company policies and Standard Operating Procedures (SOPs). *Manage employees’ disciplinary matters effectively. *Provide support during ISO certification/renewal, Malaysia Digital surveys and related statutory audits. 3. Employee Engagement *Oversee, organize and support engagement initiatives or activities such as company events, and other employee centric activities *Address employee concerns, foster a positive work environment, and manage conflict resolution. 4. Recruitment & Onboarding *Oversee, and conduct company recruitment process and recruitment efforts, including job posting, candidate sourcing, interview, onboarding processes for new employees and off-boarding process. *Conduct HR orientation programs for new hires, ensuring seamless onboarding. *Coordinate with recruitment agencies and manage internal recruitment pipelines. 5. Training & Development *Organize seminars, training, talks, exhibitions, conferences and Company social activities for Company, Principals and Staff. *Produce and monitor the execution of Training Needs Analysis (TNA). 6. Administrative Functions *Oversee licensing and regulatory compliance, including company register license. *Oversee office management tasks, coordinate administrative support, and oversee facilities management. *Assisting in ISO related matter. *Assisting in licensing/authorities matter and liaising with banks, lawyers, company secretaries, internal & external auditors, Government Agencies & Authorities, seeking approval, new application or renewal of licenses & permits. 7. Compensation & Employee Benefits Management *Oversee employee benefits programs and ensure compliance with relevant regulations. *Oversee the end-to-end payroll process, ensuring accuracy and timely resolution of payroll-related queries. *Work closely with payroll vendor and resolve any salary, system and other payroll matters. *Oversee EPF, SOCSO, and tax registrations, including expatriate tax clearance processes. *Manage employees’ medical benefits and insurance. *Administer employee tax matters, including claims and allowances, in compliance with statutory regulations. *Develop, review and implement HR policies and procedures. 8. Foreign Workers Visa and Expatriate Management *Manage employment pass applications, renewals, and spouse/dependent visas. *Collaborate with service providers to ensure compliance and maintain all necessary documentation. Qualifications Required: Advanced/Higer Diploma or Degree in Human Resource Management, Business studies, Administration, Management or Equivalent. Work Experience Required, Other Attributes & Pre-requisites: *Minimum of 6 years’ experience in HR & Admin in industrial or commercial companies. *Demonstrated ability to handle sensitive and confidential information. *Proven expertise in HR and administrative management, including payroll, compliance, and labor law knowledge. *Exceptional communication skills, both written and verbal *Outstanding interpersonal, negotiation, and people management abilities. *Proficiency in English and Bahasa Malaysia. *Strong analytical, conceptual, and critical thinking skills with a high level of adaptability and flexibility. *Excellent organizational skills and attention to detail. *Ability to manage multiple tasks and priorities effectively. *Experience in conflict resolution and employee relations. *Able to travel to factory to oversee HR & Admin operation
