The purpose of this role is to provide dedicated support to our CEO while overseeing office operations. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a dynamic environment.

Key responsibilities:

  • Provides and often leads a full range of highly confidential /administrative support, exercising sensitivity, tact and diplomacy
  • Acts as first point of contact for all queries - screen, redirect and action all incoming matters, following up where required
  • Prepares complex correspondence, reports, presentations, agendas, minutes, etc. using business software applications
  • Receives and directs incoming calls, visitors, mail and e-mail, prioritising communications as appropriate
  • Responsible for maintaining files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses
  • Participates in the development and implementation of administrative standards, policies and practices
  • Overseeing administrative and office process flows.
  • Provides support to the executive, calendar management, overseas and domestic travels, correspondence, reports, agenda, presentations, etc.
  • Oversee the wider office needs in partnership with other teams like HR, frontdesk teams, and other business teams as needed.

Requirements:

  • Proven experience as an Executive Assistant or Personal Assistant, preferably in a fast-paced corporate environment.
  • Strong administrative and organizational skills, with the ability to manage multiple tasks efficiently.
  • Excellent communication skills—assertive yet diplomatic, with a professional and pleasant demeanor.
  • Ability to handle confidential matters with integrity and discretion.
  • A proactive problem solver who can anticipate needs and take initiative.
  • Comfortable working with senior stakeholders and managing relationships at all levels
