The Role:
As an Executive Assistant, you will play a crucial role in supporting department heads with day-to-day activities, programs, and projects within the Division. In addition to general administrative tasks, you will manage scheduling and minute-taking during meetings, oversee procurement processes, maintain databases, and prepare reports or presentations for the Division.
Key Responsibilities:
- Assist department heads with daily operational tasks and strategic initiatives.
- Coordinate and schedule meetings, appointments, and travel arrangements as needed.
- Record and distribute minutes of meetings, ensuring accuracy and completeness.
- Manage the procurement process, including vendor communication and contract management.
- Maintain and update databases, ensuring data integrity and confidentiality.
- Prepare and format reports, presentations, and correspondence for internal and external distribution.
- Support special projects and initiatives, collaborating with cross-functional teams as required.
The Ideal Candidate:
- Candidate must possess at least a Diploma in Science, Business Administration, Office Management, or a related field. Fresh graduates from related courses will also be considered.
- Minimum of 2 years of relevant working experience in an administrative role.
- Excellent written and verbal communication skills with strong interpersonal abilities.
- Ability to work independently, prioritize tasks, and meet deadlines in a dynamic environment.
- Positive attitude, high personal ethics, initiative, and a flexible approach to work.
- Detail-oriented, organized, and adept at multitasking to handle diverse responsibilities effectively.
- A 6–12-month MySTEP personnel program for fresh graduates aimed at developing foundational skills and knowledge in administrative roles.
Job Types: Full-time, Contract

Pay: RM1,800.00 - RM2,000.00 per month
