Responsibilities : - To assist GM in Business development activities especially on activities related to enquiries from PAC companies (i.e: for Market Surveys, screening, pre-qualifications & tenders) and to prepare the formal response. -To prepare for presentation at Management meetings the weekly and monthly status updates related to WHAOG activities -To assist GM in communications with overseas principals as well as with new ones for potential agency appointments. -To check on the PETRONAS Licensing & Registration Regulations, the applicable SWECs (Standard Works & Equipment Categories) and the corresponding MTRs (Minimum Technical Requirements) for updating of WHAOG license and/or for application of new SWECs -To assist GM in checking the details of all enquiries from PACs to extend them accordingly to the respective principals/technical support partners & internal resources (HR, Finance, QHSE, Procurement) -To contact external resources for CVs as required for tenders and RFQs received from PAC companies. -To prepare correspondences to the PAC companies of WHAOG's latest profile and applicable SWECs and keep abreast of their enquiries via their tendering systems (SMART GEP for PETRONAS Group, SAP-Ariba for SHELL and normal email enquiries for the others. -To be the focal person for all awarded contracts/Purchase Orders WHAOG in assisting GM as the Contractor's Representative. -To assist GM in his marketing roles and get familiar with the basic technical and operational aspects of all WHAOG's principals' products- both equipment and services. -To assist GM in networking activities and participation in industry groups' functions and programme (seminas, exhibitions, forums, etc.,) such as MOGSC, MOGEC,SMECorp, MATRADE, etc. -To be aware of governance, risk management and compliance requirements in executing all work activities which include observations of the various applicable laws, rules, regulations and Company policies and Procedure Guidelines. -To participate in Company-wide initiatives in Quality & HSE Management and internal audit activities for ISO accreditations. -To act as secretary to WHAOG Management Meetings -To undertake any other tasks as reasonably assigned by GM or other directors & Group Chairman. Requirement -3-5 years of experience in administrative roles and tender management, in the oil and gas industry. -Experience working with procurement processes, contract management, or bidding processes in the oil & gas, energy, or construction sectors. -Excellent organisational and time management skills, with the ability to prioritise tasks and work under tight deadlines -Strong communication and interpersonal skills, with the ability to liaise effectively with both internal and external stakeholders -Proficient in the use of Microsoft Office applications, particularly Excel, Word, and PowerPoint -Attention to detail and a proven track record of accuracy in data entry and document management
