Office Administrator
The Office Administrator is responsible for overseeing the day-to-day administrative operations of the office, ensuring smooth office functions, and supporting the team with administrative tasks. The role involves coordinating office activities, managing schedules, maintaining records, and supporting staff members to enhance overall office efficiency.
Key Responsibilities:
Administrative Support:
- Provide administrative support to senior management and staff.
- Manage office supplies and ensure that the office is properly stocked and organized.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute internal communications, reports, and presentations.
Office Management:
- Oversee the general maintenance of the office, ensuring a clean and professional working environment.
- Handle incoming phone calls, emails, and correspondence in a timely and professional manner.
- Organize and maintain office files, both physical and digital, for easy retrieval.
- Ensure compliance with health and safety regulations and company policies.
Documentation and Reporting:
- Assist in preparing documentation, including contracts, memos, and presentations.
- Maintain accurate records and files for administrative purposes.
- Process invoices, track budgets, and assist in financial record-keeping.
Coordination and Collaboration:
- Act as the main point of contact between staff and external vendors or service providers.
- Liaise with HR to assist with onboarding processes and employee record-keeping.
- Coordinate office events, team-building activities, and employee engagement programs.
Training and Development:
- Support the onboarding process for new employees, including orientation and training.
- Stay updated on office management software and tools to improve efficiency.
Experience:
- Minimum 2-3 years of experience in an administrative or office support role.
- Prior experience in office management or coordination is a plus.
Skills:
- Excellent communication and organizational skills.
- Strong proficiency in Microsoft Office Suite and office management software.
- Attention to detail and a proactive approach to problem-solving.
- Ability to handle multiple tasks simultaneously and work under pressure.
