Role Summary
We are seeking a proactive, presentable, and highly organized Personal Assistant to provide exceptional support to our Managing Director (MD). The is a pivotal role in ensuring smooth day-to-day operations for the office and effective task management for the MD. This position requires a detail-oriented individual who can manage back-office operations & administrations, ad hoc tasks & projects, and communicate professionally on behalf of the MD.
Responsibilities
Administrative & Executive Support:
· Filter emails / messages/ phone calls, prioritize urgent matters, and optimize information flow.
· Manage office records, schedules, and appointment bookings.
· Prepare reports, presentations, and meeting minutes as required.
· Assist in tracking deadlines, follow-ups, and project progress.
· Manage and coordinate the MD’s ad hoc tasks, projects, and priorities.
Operations & Coordination:
· Liaise with internal teams, and business partners on behalf of the MD.
· Support clinic operations by assisting in process coordination and problem-solving.
· Assist in monitoring and improving operational processes for efficiency.
· Coordinate with vendors and suppliers for procurement and service agreements.
· Ensure compliance with company policies, industry regulations, and SOPs.
Project Management & Strategic Support:
· Conduct research to provide insights for the MD’s projects and priorities.
· Track key projects, deadlines, and deliverables, ensuring follow-ups.
· Assist in organizing strategic meetings and planning sessions.
· Manage multiple tasks efficiently, prioritizing according to urgency and importance.
Personal Assistance & Ad hoc Duties:
· Act as a liaison between the MD and internal/external stakeholders, ensuring clear and effective communication.
· Manage the MD’s correspondence & travel arrangements, including flights and accommodation.
· Undertake special assignments, ad-hoc functions, related duties including personal assistance when necessary.
Requirements:
· Possess Bachelor’s degree in Business Administration, Management, or a related field preferred.
· Minimum 2 years' proven experience as an executive assistant or personal assistant supporting senior executives/MD, preferably within a corporate environment.
· Proficient in Microsoft Office suite, with the ability to learn new systems and technologies quickly.
· Strong attention to detail, accuracy, and organizational skills, with the ability to multitask and manage priorities effectively in a fast-paced environment.
· Ability to make decisions independently and exercise sound judgment in ambiguous situations.
· Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels.
· Flexible and adaptable to changing priorities, work schedules, and the CEO’s working style, including availability for occasional after-hours support.
· High level of professionalism, integrity, and discretion in handling confidential information and representing the MD.
Job Type: Full-time
Pay: RM3,000.00 - RM6,000.00 per month
