We seek a dynamic and reliable Personal Assistant to join our team and work closely with the Executive Director to provide exceptional secretarial and administrative services. We offer a salary based on experience and qualifications, with an annual salary range of RM42,000.00 to RM45,600.00.

As the Personal Assistant to the Executive Director, you will play a pivotal role in ensuring the smooth operation of the Executive Office. You will manage the diary, coordinate meetings, prepare briefing materials, and handle confidential correspondence with the utmost professionalism. In addition, you will act as the primary point of contact for internal and external stakeholders, ensuring that communication and administrative systems run efficiently.

Key Responsibilities:

  • Act as the first point of contact for the Executive Director, managing correspondence and phone calls with professionalism and discretion.
  • Proactively manage and prioritize the diary, scheduling internal and external meetings and ensuring the preparation of relevant briefing papers.
  • Organize travel, transport, and accommodation logistics as required to ensure smooth arrangements.
  • Maintain an organized filing and data storage system for emails and documents, ensuring met the needs.
  • Provide personal assistant with full support, including drafting routine letters, taking minutes, and managing administrative tasks as necessary.
  • Support Board of Directors meetings by coordinating logistics, drafting agendas, collating papers, taking minutes, and following up on action points.
  • Service Senior Management Team meetings by preparing agendas, drafting reports, taking minutes, and following up on action items.
  • Plan and manage key organizational events, including the Yearly Meetings, conferences, strategy days, and staff briefings.

What You’ll Need:

  • Proven experience in a similar executive assistant or personal assistant role, ideally supporting senior leadership.
  • Fluent in English and Bahasa Malaysia (knowledge of additional languages is a bonus).
  • Have strong organizational skills, with the ability to manage competing priorities and meet deadlines.
  • Excellent in both written and verbal communication skills, with a keen eye for detail and a professional tone.
  • Experience in minute-taking and report writing.
  • Able to maintain confidentiality and manage sensitive information with care.
  • Proficient in office software, including MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proactive and self-motivated, with the ability to take initiative and work independently.
  • A valid driving license is essential for travel and event coordination as required.
  • Demonstrated commitment to working in a child-friendly and inclusive environment, with an understanding of the importance of safeguarding and supporting.
