Job Responsibilities:
- Preparing and circulating document for signatories approval via electronic and physical documents
- Print and submit all claims to Finance and keep track the payment issuance as per Finance SOPP (within 14 days for Contractor and Consultant claims, and 3 days for Authority)
- Scan all correspondences and email to PIC, store in Shared Folder (pmd folder in server)
- Raise to Work Order once Quotation approved by Authorised parties (refer Limit of Authority), track approval on daily basis
- Liaise closely with all Executive and Project Managers (SCM & Project) to ensure all documents disseminated within set dateline
- Liaise with Consultant's & Contractor Admim/ Account Dept, to update their payment status
- Involve as Auditor for Yearly Audit Session (QESH to assign Dept to be audited), get report ready within set dateline
- Attend to Internal and External Auditor (Resolve and SIRIM), get ready with all document's requested by Auditor
- To perform any other duties as assigned by the management from time to time
Job Requirement:
- Diploma/Bachelor’s Degree related discipline with minimum 2 years of relevant working experience.
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
