• Assist in coordinating the scheduling and use of university event spaces, including lecture halls, meeting rooms, and outdoor areas. • Support the setup, arrangement, and maintenance of event facilities to meet specific event requirements. • Liaise with internal departments, student organizations, and external vendors to ensure seamless event execution. • Prepare and maintain event documentation and trackers, ensuring accuracy and completeness. • Assist in the planning and execution of institutional events such as conferences, workshops, and student engagement activities. • Monitor and coordinate trip requests from users, ensuring efficient allocation of transportation resources. • Conduct daily and monthly vehicle inspections to ensure all assets are in good and safe condition. • Communicate with outsourced transportation providers for additional requirements during events. • Maintain accurate records of transportation activities and provide logistical support for events. • Conduct routine inspections of facilities to ensure compliance with health and safety regulations. • Assist in implementing workplace safety measures and responding to incidents or accidents. • Maintain documentation related to safety audits, emergency preparedness, and compliance. • Provide administrative support to the safety and health committee in organizing safety programs. SKILLS & EDUCATION REQUIREMENTS • Bachelor’s degree in Event Management, Facilities Management, or a related field. • At least 1–2 years of experience in event coordination, logistics, or facilities management. • Strong organizational skills and the ability to multitask in a dynamic environment. • Excellent communication skills to liaise effectively with various stakeholders. • Basic knowledge of health and safety standards is an advantage.
