The Secretary to the Managing Director provides high-level administrative support to the MD by handling correspondence, managing schedules, organizing meetings, and assisting in various operational tasks. This role requires excellent organizational, communication, and multitasking skills.
Key Responsibilities:
- Calendar and Schedule Management:
- Organize and maintain the MD’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Prioritize and reschedule meetings and appointments as needed.
- Ensure that the MD is prepared for meetings with necessary materials and documentation.
- Communication Management:
- Serve as the first point of contact for the MD, handling phone calls, emails, and other communications.
- Draft and proofread correspondence, presentations, and reports.
- Liaise with senior executives, staff, and external stakeholders on behalf of the MD.
- Meeting Coordination and Support:
- Schedule, coordinate, and attend meetings, including preparing agendas, taking minutes, and distributing meeting notes.
- Ensure follow-up actions from meetings are tracked and completed.
- Prepare and manage materials required for presentations or discussions.
- Document Management:
- Organize, maintain, and manage confidential and sensitive documents.
- File important documents, including contracts, reports, and correspondence, and ensure their accessibility when needed.
- Assist with preparing reports, proposals, and other business documents.
- Travel and Event Coordination:
- Plan and coordinate business travel for the MD, including booking flights, accommodation, and ground transportation.
- Organize events, conferences, and functions on behalf of the MD, ensuring all logistics are handled.
- Project Assistance:
- Assist the MD in project management tasks, including tracking timelines, coordinating with departments, and ensuring deadlines are met.
- Prepare status reports or updates as needed for ongoing projects.
- Confidentiality and Discretion:
- Handle sensitive information and maintain a high level of confidentiality.
- Exercise discretion when dealing with confidential matters and information.
- General Administrative Support:
- Manage office supplies and maintain office organization.
- Assist with the preparation of annual reports, budgets, and other administrative documents.
- Support in various ad hoc tasks, as requested by the MD.
Job Type: Full-time
Pay: RM3,500.00 - RM4,000.00 per month
