Position Title: Sports Assistant Reports to: Sports Officer & Club Manager Position Summary: Perform clerical, administrative duties and responsible for the overall operation of the sports facilities/ areas that include ensuring specific event, facilities, and activities are in operation condition to ensure smooth functioning of a sports department. Execute and supervise administrative tasks on a day-to-day basis, attend meeting and write minutes if required, maintain and manage the sports properties and assets in an organized manner. Sports Assistant are expected to maintain an awareness of potential problems while creating a warm and welcoming atmosphere in their sports area / facilities. DUTIES AND RESPONSIBILITIES Duties and responsibilities include the following and other duties may be assigned from time to time • Provide quality leadership and exceptional service to the Sports department • To keep inventory and stock check of sports equipment/items • To be responsible sports facility booking (including grounds) – opening of the facilities for members booking • Ensure club/facility policy and regulations are adhered to • To assist to oversee the operations in sports management including grounds • To monitor the time schedule of the operation staff • To assist during any sporting events/tournaments • To fill in during breaks, leaves or absence of operation staff except grounds • Update daily to Sports Officer in regard to the Sports Club events/facilities. • To ensure all the Sporting facilities (inclusive of swimming pool and gymnasium) are clean and in good condition. • Handled missing towel/s and follow up with investigation. • Attend and assist member in any complaint/s that are pertaining to Sports. • Wash and dry towels and jersey • Keep the Sports store clean and tidy. • Arrange all the Sports Section trophies/souvenirs in the glass window cabinet • Conduct inventory check on all Sporting equipment monthly • Handle Tennis Club Night session or field sports session • Key in data into Club system • To undertake regular patrols during shifts, ensuring that all users are abiding by the rules, regulations and conditions of use and hire. To challenge unauthorized entrance and prevent inappropriate or illegal use of the sports facilities and equipment. • Ability to maintain a positive approach to work and have an enthusiasm and an interest in working in sport by using organizational skills to complete tasks with set deadlines • Ability to work on a shift rotation, to include evenings and weekends • Actively seeking opportunities to improve yourself • Knowing and understanding the Penang Sport Club constitutions, bye laws & staff handbook • To actively engage in the performance development and management process • To check and replenish first aid boxes in the sport facilities in line with established procedures • Commitment to and understanding of equality and diversity issues within a diverse and multicultural environment • To undertake any other duty as specified by the Head of Department not listed above
