Finance Support:
- Assist in the preparation and processing of purchase request, invoices, payments, and expense claims.
- Assist Group Finance Department to maintain accurate financial records and support monthly reporting, including reconciliations and budget tracking.
- Liaise with Group Finance Department to ensure compliance with financial regulations and internal procedures.
- Monitor accounts receivable and payable (project management scope), ensuring timely follow-ups and payments.
- Support the preparation of financial documents for management review.
Human Resource Support:
- Assist and liaise with Group HR Department on all HR related matters.
- Maintain employee records, including contracts, and training logs.
- Coordinate recruitment processes, including posting job advertisements, screening resumes, and scheduling interviews.
- Manage onboarding and offboarding processes for new hires and departing employees.
- Track staff attendance, overtime, and review monthly claims form and compile for approval.
- Organize staff engagement activities, training sessions, and performance reviews.
Administration and Crew Support:
- Manage office supplies and inventory to ensure adequate stock levels.
- Handle day-to-day office operations, including scheduling meetings, maintaining calendars, and liaise with Group Travel Desk for coordinating travel arrangements.
- Ensure timely renewal of company licenses, registrations, and insurance policies.
- Maintain accurate records for crew work permits, medical fitness certifications, and competency training, ensuring all documents are up to date and compliant with regulatory requirements.
- Proactively schedule and coordinate medical check-ups, work permit renewals, and competency training for crew members to avoid lapses.
- Serve as the primary liaison to the Group HSE Department for all HSE-related matters, including ensuring compliance with safety policies, facilitating HSE audits, coordinating safety training, and maintaining records of safety certifications.
- Act as liaison with vendors, service providers, and government authorities for administration and crew-related matters.
Qualifications and Experience
Strong attention to detail and organizational skills.
Excellent communication and interpersonal skills.
Ability to manage multiple tasks and meet deadlines.
A proactive attitude and ability to work both independently and as part of a team.
Discretion in handling sensitive information.
Knowledge of work permit, medical certification, and competency training processes is an added advantage.
