Admin Executive
Job responsibilities:
Ø Welcome and assist visitors, clients, and vendors, ensuring a positive first impression.
Ø Handle incoming calls, redirect them to the appropriate person, and take messages when necessary.
Ø Keep the reception area tidy and presentable, ensuring a professional environment.
Ø Monitor and order office supplies (stationery, pantry items, etc.)
Ø Liaise with office suppliers, cleaners, and other service providers to ensure smooth operations.
Ø Organize and maintain both digital and physical files, records, and documents.
Ø Perform data entry tasks such as updating employee or client databases, ensuring accuracy and timeliness.
Ø Schedule and coordinate the use of meeting rooms, ensuring they are prepared and equipped for meetings.
Ø Coordinate with the candidates for their availability and schedule interviews
Ø Handle incoming and outgoing mail and courier services, ensuring timely delivery to the right individuals.
Ø Manage general company inboxes, responding to or redirecting inquiries as needed.
Ø Assist in managing schedules for key executives or departments, ensuring appointments and meetings are well-organized.
Ø Schedule and confirm appointments or meetings, and send reminders as needed.
Ø Coordinate with vendors for the maintenance of office equipment (printers, phones, etc) and report any issues to higher management
Ø Assist HR with on boarding new employees by coordinating welcome kits and facilitating introductions.
Ø Collect, track, and submit employee time sheets for payroll processing, if required.
Ø Monitor staff attendance and help maintain attendance logs for reporting purpose.
Ø Respond to general inquiries, both in person and over the phone, providing accurate information or directing to the appropriate department.
Ø Assist clients or visitors with any special requests, ensuring excellent customer service.
Ø Handle petty cash transactions, maintain records, and ensure timely reimbursement processes.
Ø Provide administrative assistance to other departments as needed.
Ø Assist with special projects or tasks that require administrative support on an ad hoc basis.
Job Type: Full-time
Pay: From RM2,000.00 per month
Schedule:
- Monday to Friday
- Weekend jobs
