The Executive Assistant (EA) provides comprehensive administrative support to Managing Directors, managing schedules, coordinating meetings, and ensuring smooth daily operations. The role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities

  • Calendar & Scheduling: Manage complex schedules, prioritize appointments, and coordinate meetings (local, virtual, or offsite).
  • Travel Management: Plan and organize travel arrangements, including logistics and itineraries.
  • Administrative Support: Maintain records, handle confidential documents, and assist in preparing reports and presentations.
  • Expense & Timesheet Processing: Submit and track reimbursements in line with company guidelines.
  • Event Coordination: Assist in organizing internal and external meetings, events, and workshops.
  • Communication & Liaison: Serve as a point of contact for internal teams, clients, and external stakeholders.
  • General Office Support: Manage correspondence, maintain databases, and support additional administrative tasks as required.
  • Team Collaboration: Work closely with other administrative staff to ensure efficiency across teams.

Requirements

  • Minimum of 5 years of experience in an executive support or administrative role, ideally in a professional services environment.
  • Strong multitasking skills with the ability to work under tight deadlines.
  • Excellent interpersonal skills and ability to collaborate with individuals at all levels.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) with strong typing skills.
  • Professional demeanor, discretion, and ability to handle confidential information.
  • High attention to detail and ability to manage competing priorities.
  • Willingness to work beyond regular hours during peak periods if needed.
