Job Overview

We are seeking a highly organized and detail-oriented Customer Support/Administrator to a Chartered Accountant Firm based in Auckland, New Zealand to provide comprehensive administrative support to our clients and our team.

This is a remote contract role and has a 3 to 6 month period by negotiation.

As a Support Admin, you will be responsible for communicating with clients and internal staff, managing queries, maintaining records, assisting with invoicing and tax management, and ensuring the smooth operation of daily tasks.

Fluency in both Chinese and English, along with good understanding in accounting/bookkeeping work, and relevant experience with software such as Outlook, Excel, Word, WeChat, XERO, etc, is essential for this role. Maintaining client confidentiality is of upmost importance in this position.

Role Description

  • Generate and send PDF forms and checklists periodically to clients.
  • Request and collect necessary information from clients and save it in appropriate file locations.
  • Communicate effectively with accountants and clients regarding queries and paraphrase them for review.
  • Manage and respond to client queries in a timely manner, ensuring accurate information is provided.
  • Track and manage query management, ensuring prompt resolution.
  • Assist with workflow management, including reporting updates and ensuring tasks are completed on time.
  • Compile and collate finished work, sending it for review before sending to clients.
  • Check that finalized jobs are properly invoiced.
  • Maintain up-to-date records of the company and clients.
  • Prepare and send out monthly statements to clients.
  • Manage tax-related statements and ensure timely distribution.

Qualifications

  • Proven experience as a Personal Assistant/Customer Service/Administrative role or in a similar administrative role.
  • Bilingual in Chinese and English, with excellent communication skills in both languages.
  • Entry level of accounting/ bookkeeping experience is preferred.
  • Proficiency in Outlook, Excel, Word, Xero, WeChat, etc.
  • Strong organizational and project management abilities, including multitasking, prioritization, and time management.
  • Attention to details to ensure satisfactory client service delivery.
  • Ability to maintain confidentiality. We have little tolerance in privacy breach
  • Past working experience in a professional firm is preferred.
