Key Responsibilities:
Payroll Processing:
- Process the payroll for all employees in a timely and accurate manner.
- Ensure all payments are made correctly, including salaries, bonuses, deductions and overtime.
- Calculate and ensure proper deductions such as taxes, insurance and retirement contributions.
- Check and process leave entitlements, including vacation, sick leave and other paid time off.
- Respond to payroll-related queries from employees, providing explanations of deductions, benefits, and other payroll-related matters.
- Provide accurate information on pay discrepancies and resolve issues in a timely manner.
- Conduct investigation into employee misconduct and recommend appropriate actions.
Data Management:
- Maintain and update employee payroll records.
- Ensure all employee information, such as personal details, job titles and salary rates are up-to-date.
- Handle adjustments to employee records, such as promotions, salary changes or terminations.
- Maintain confidentiality of payroll information and adhere to company policies regarding data protection.
- Ensure all payroll documentation is organized and stored in compliance with legal requirements.
Disciplinary Handling:
- Manage the disciplinary process by addressing employee misconduct, performance issues, and breaches of company policies.
- Conduct investigations into complaints or incidents of misconduct, ensuring a fair and consistent approach.
- Advise managers and supervisors on disciplinary actions and help ensure consistent implementation of company policies.
- Organize and document disciplinary meetings, issuing warnings, and providing support to both managers and employees throughout the process.
- Support conflict resolution, promoting a positive and respectful workplace culture.
- Ensure compliance with legal and ethical standards when dealing with disciplinary matters.
Skills and Qualifications:
Education:
- A bachelor's degree in Human Resource, Finance, Business Administration or a related field.
- Certification in payroll management is an advantage.
Experience:
- Minimum of 2-3 years of experience in payroll processing or a related field.
- Experience using payroll software (HR2000 or similar systems).
Skills:
- Strong knowledge of payroll regulations and tax laws.
- Proficiency in MS Office, particularly Excel.
- Excellent attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Strong communication and interpersonal skills to effectively interact with employees and management.
