Key Responsibilities

Executive Support:

  • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Handle correspondence, including emails, phone calls, and mail, on behalf of the executive.

Office Management:

  • Oversee the daily operations of the executive office.
  • Manage office supplies, equipment, and facilities to ensure a productive work environment.
  • Coordinate with other departments to facilitate communication and workflow.

Project Management:

  • Assist in the planning and execution of projects.
  • Track project progress and deadlines, ensuring timely completion of tasks.
  • Prepare project reports and presentations.

Event Planning:

  • Organize and coordinate corporate events, meetings, and conferences.
  • Handle logistics, including venue selection, catering, and transportation.

Document Management:

  • Maintain and organize important documents, records, and files.
  • Prepare, edit, and format documents and presentations as needed.
  • Ensure the confidentiality and security of sensitive information.

Financial Administration:

  • Assist with budget preparation and expense tracking.
  • Process invoices, purchase orders, and reimbursements.
  • Handle petty cash and maintain financial records.

Communication:

  • Serve as a point of contact between executives and internal/external stakeholders.
  • Draft and edit communications, such as memos, emails, and reports.
  • Represent the executive in meetings and on calls when necessary.

Human Resources Support:

  • Assist with recruitment, onboarding, and training of new staff.
  • Maintain employee records and handle HR-related inquiries.
  • Coordinate performance reviews and employee recognition programs.

Skills and Qualifications

  • Educational Background: SPM/ STPM/ Bachelor’s degree in business administration, management, or a related field.
  • Experience: Several years of experience in administrative or executive support roles. Experience in a similar industry can be an advantage. Fresh graduated are welcome to apply.

  • Communication Skills: Strong written and verbal communication abilities.
  • Technical Skills: Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with office equipment.

  • Attention to Detail: Accuracy in managing schedules, documents, and communications.

Job Types: Full-time, Permanent, Fresh graduate

Pay: RM2,000.00 - RM4,000.00 per month
