Key Responsibilities
Executive Support:
- Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Handle correspondence, including emails, phone calls, and mail, on behalf of the executive.
Office Management:
- Oversee the daily operations of the executive office.
- Manage office supplies, equipment, and facilities to ensure a productive work environment.
- Coordinate with other departments to facilitate communication and workflow.
Project Management:
- Assist in the planning and execution of projects.
- Track project progress and deadlines, ensuring timely completion of tasks.
- Prepare project reports and presentations.
Event Planning:
- Organize and coordinate corporate events, meetings, and conferences.
- Handle logistics, including venue selection, catering, and transportation.
Document Management:
- Maintain and organize important documents, records, and files.
- Prepare, edit, and format documents and presentations as needed.
- Ensure the confidentiality and security of sensitive information.
Financial Administration:
- Assist with budget preparation and expense tracking.
- Process invoices, purchase orders, and reimbursements.
- Handle petty cash and maintain financial records.
Communication:
- Serve as a point of contact between executives and internal/external stakeholders.
- Draft and edit communications, such as memos, emails, and reports.
- Represent the executive in meetings and on calls when necessary.
Human Resources Support:
- Assist with recruitment, onboarding, and training of new staff.
- Maintain employee records and handle HR-related inquiries.
- Coordinate performance reviews and employee recognition programs.
Skills and Qualifications
- Educational Background: SPM/ STPM/ Bachelor’s degree in business administration, management, or a related field.
- Experience: Several years of experience in administrative or executive support roles. Experience in a similar industry can be an advantage. Fresh graduated are welcome to apply.
