Assistant Executive for Learning & Development
JOB PURPOSE:
The Learning and Development Assistant Executive will have responsibility for the coordination and administration of a range of Learning and Development activities and projects as directed by the Learning and Development Manager / Senior Manager. These will include: Managing corporate Induction, Training Administration, HRDCorp arrangements, supporting the provision of management information and budget tracking.
The role holder will be the first point of contact for Learning and Development queries and be responsible for all related administration, ensuring a get it right first-time ethos is adopted.
DUTIES & RESPONSIBILITIES:
Learning and Development Support
· Arranging hospitality, room layout and equipment for participants attending workshops and events, liaison with trainers, booking training rooms, printing and distributing course materials and ensuring required equipment is available and in working order for the efficient running of all relevant events.
· Carrying out research as directed into training providers or other information.
· Developing and maintaining accurate and easily accessible records and processes for all Learning and Development activities and processes including recording and monitoring attendance, ensuring that staff required to attend specific workshops are easily identified and followed up.
· Liaising with Line Managers and delegates to ensure all staff are booked on required events within agreed timeframes.
· Working closely with the Learning and Development team to design and communicate administrative procedures for the booking of both in-house and external training courses.
· Ensuring evaluation forms are completed and returned for each development event/ training; contributing to the identification of learning and development needs within the organization through the completion of Training Needs Analysis returns and feedback from Managers and other staff.
· Advising staff on Training Policies and Procedures including resolving or supporting the resolution of problems related to the operation of the Learning and Organization Development area.
· Managing our Training Calendar and providing timely and accurate updates to the organization.
· Developing and maintain productive working relationships with External providers of Learning solutions.
· Apply and track the HRDCorp grant and claims for trainings and trainers.
· Coordinating the development of Structured Learning Modules for Nursing and Non-Nursing Department.
Management Information / Data Collection
· Responsibility for monitoring and evaluating Learning and Organization Development activities, producing accurate and up-to-date Data Analysis.
· Assisting with periodic reporting as requested such as; creating and maintaining training activity records, updating training records and ensuring information is accurate and up-to-date and producing reports as required.
· Updating the status of Basic Life Support (BLS) and Advance Cardiovascular Life Support (ACLS) of the staff.
Projects and Events
· Responsibility for the coordination and delivery of a range of projects and regular events. This will include producing and keeping updated project plans, arranging meetings and ensuring systems and processes are established and projects delivered to agreed timescales.
· Co-ordinating the Development and delivery of the organization wide regular induction events for all new employees, ensuring the content is reviewed and updated continually in line with feedback received.
· Assist in coordinating External and Soft Skills Trainings and team building for staff
· Responsible in sourcing, interviewing and selecting external trainers for inhouse trainings
· Managing the E- Learning platform for staff trainings
Assistant to Human Resource & Development Manager:
· Manage and making appointments, organizing and maintaining a smooth schedules and calendars for Manager.
· Assist in dealing with incoming inquiries, requests, gathering information and following up actions such as responding to queries and chasing responses on behalf Manager.
General
· Supporting the Learning and Development team with projects as required including ensuring that all of the information contained on the Learning and Development share folder is accurate, up-to-date and regularly maintained.
· Developing and maintaining positive, collaborative working relationships with all staff to sustain the reputation of the Learning and Development team as a customer focused function.
· Attending meetings, taking notes and progressing actions as required.
· Raising of purchasing requisition orders and tracking of payment on behalf of the Learning and Development team.
· Manage, tracking and apply Annual Practice Certificate (APC) for nurses.
· Provide certificates for internal trainings
· Provide Minutes of Meetings for all meetings that conducted in Learning and Development Departments.
· Secretary for Privileging and Credentialing Committee in Beacon Hospital.
· Manage Nursing Sponsorship and contract in Post Basic Program.
· Assisting in Human Resource ad Hoc task.
Requirement :
1-Diploma in related field
2-Proficient in Microsoft Office, Excel, Power Point application
3-Knowing in Administration/ Filiing
4-Knowing in HRDCorp Grant Application and Clawing
5-Knowledge of Learning/Training theory and principles
6-Knowing of Training Methodologies
7-Knowing of Learning Managements Systems
8-Knowing Evaluation

Pay: RM2,200.00 - RM2,500.00 per month
