Reports to: Top Management / Director of Operations
Position Summary
The Business Executive will play a key role in coordinating interdepartmental meetings, ensuring clear communication between teams, and following up on action items to drive execution. This person will work directly with top management, ensuring that decisions made during meetings are tracked, documented, and implemented effectively. The ideal candidate is highly responsible, detail-oriented, and has strong follow-up skills.
Key Responsibilities1. Meeting Coordination & Documentation
- Schedule and coordinate meetings between departments and senior management.
- Prepare agendas, take detailed minutes, and ensure accurate documentation of all key discussions.
- Track action items and follow up with relevant stakeholders to ensure execution.
- Summarize meeting outcomes in clear reports for top management.
2. Communication & Follow-Up
- Ensure all departments receive clear instructions and updates after meetings.
- Maintain strong follow-up with managers and teams to track the progress of assigned tasks.
- Act as the bridge between departments to ensure smooth communication and workflow.
- Identify and flag delays or roadblocks in project execution.
3. Data & Reporting Management
- Utilize Excel to track progress, compile reports, and maintain structured documentation.
- Analyze data from meetings and provide insights to assist decision-making.
- Prepare periodic reports for top management on project status and task completion.
4. Business Coordination & Problem-Solving
- Ensure all spoken directives in meetings are followed through in a timely manner.
- Use strong intuition and analytical thinking to identify potential risks, delays, or areas for improvement.
- Work proactively to resolve issues before they escalate.
5. Administrative & Organizational Support
- Assist top management with business-related research, reports, and strategic planning.
- Organize and maintain important documents, project timelines, and execution roadmaps.
- Handle confidential information with discretion and professionalism.

KPIs (Key Performance Indicators)
Meeting Coordination & Documentation:
- 100% timely distribution of meeting minutes within 24 hours.
- 100% tracking of all action items with clear follow-ups.
Follow-Up & Execution:
- Minimum 90% task completion rate for assigned follow-ups.
- Quick identification and resolution of bottlenecks in execution.
Reporting & Communication:
- Accurate and well-structured reporting to top management.
- Proactive updates on task completion status.
Efficiency & Problem-Solving:
- Ability to flag and resolve key challenges independently.
- Positive feedback from top management and department heads on effectiveness.
Job Type: Full-time
Pay: RM3,000.00 - RM4,500.00 per month
