Job Summary: The Logistic Executive will manage end-to-end logistics operations, ensuring seamless coordination between internal departments and external stakeholders. This role requires strong problem-solving skills and expertise in shipping, insurance, customs clearance, and logistics cost analysis. Responsibilities: Logistics Coordination & Shipment Management Oversee the shipping process once goods are ready for dispatch. Obtain freight price quotations and award contracts. Coordinate with forwarders and arrange flight schedules. Track shipments and ensure timely delivery. Prepare transport documentation (DO) before finance issues invoices Customs & Compliance Handle customs clearance and submit quarterly reports. Liaise with Kastam KLIA when needed for approvals. Ensure compliance with shipping regulations. Internal & External Liaison Communicate with Finance, SCM, Production, and PMT teams for logistics updates. Keep production teams updated on shipment status and delivery timelines. Maintain constant communication with couriers and freight forwarders. Be available for urgent logistics inquiries. Cost Analysis & Reporting Analyze logistics expenses and conduct cost comparisons for couriers and forwarders. Prepare and submit quarterly logistics reports to customs. Optimize shipping methods for cost efficiency and timely delivery. Handling Special Cases & Weekend Work Occasionally work on weekends for urgent shipment coordination. Work primarily involves phone-based coordination with customs, couriers, and forwarders. No OT claims, but essential for ensuring smooth operations. Requirements: Education: Bachelor's Degree in Logistics, Supply Chain Management, or related field. Experience: Minimum: 1 year of experience in logistics, customs, courier, or freight forwarding. Preferred: 2-3 years of experience in end-to-end logistics management. Consideration: At least 6 months of internship experience in logistics. Technical & Industry Knowledge: Understanding of end-to-end logistics processes (from production readiness to delivery). Experience dealing with customs (Kastam), couriers, and freight forwarders. Hands-on experience in shipping arrangements, pricing negotiations, and booking air freight. Ability to coordinate with internal departments (PMT, Finance, SCM, Product). Familiarity with customs reporting (quarterly reporting to Kastam). Knowledge of insurance issuance for shipments. Data analysis skills for logistics spending (cost comparison of couriers and forwarders). Soft Skills & Work Nature: Strong communication skills for effective internal and external coordination. 24/7 availability for urgent logistics matters. Willingness to work on weekends (mostly phone-based work, no OT claims). Work location: Conezion, Putrajaya (liaising with staff from Cipra, Teluk Kalung, etc.). Ability to coordinate shipments from overseas suppliers (e.g., Italy). Nice to Have (Preferred but Not Required): Experience working with Petronas or related oil & gas logistics. Knowledge of freight forwarding and shipping procedures. Experience in air freight booking and coordination.
