
Manager, Examination Unit
JOB SUMMARY
The Manager, Examinations Unit is responsible for overseeing and managing all examination related processes across the University. This includes developing efficient workflows, ensuring adherence to academic regulations and maintaining the highest standards of integrity and security in examination administration. The role supports a positive student experience by coordinating effectively with academic and administrative departments to deliver timely and accurate examination services.
Key Responsibilities:
Leadership and Team Management
- Lead and supervise the Examinations Unit staff, fostering a collaborative and high performance team culture.
- Establish clear objectives for the Unit, ensuring alignment with university goals and continuous improvement of examination processes.
- Provide guidance and training to staff on examination policies and procedures, including data management, regulatory compliance and examination security protocols.
Examination Administration and Integrity
- Manage the planning, scheduling, and administration of all examinations, including final exams, re-sits, and supplementary assessments, in accordance with university and regulatory guidelines.
- Ensure the security and integrity of examination materials, including secure handling, storage, and transport of examination papers and scripts.
- Coordinate with Programme Offices and Finance Department to manage student registration records and resolve examination schedule conflicts.
Stakeholder Communication and Support
- Liaise with faculty, students and administrative departments to provide comprehensive examination services and address any related queries or concerns.
- Develop and distribute clear examination guidelines for students, faculty and invigilators, ensuring proper communication of procedures and conduct expectations.
- Arrange and manage invigilator duties, ensuring they are well-informed and prepared to uphold examination standards.
Data and Record Management
- Oversee the accurate recording and timely reporting of examination data within the University’s management system.
- Ensure all examination-related data, including entries, changes and results, are processed in line with quality standards and regulatory requirements.
- Manage the release of examination results and respond to inquiries about results in a professional and timely manner.
Continuous Improvement and Compliance
- Identify and implement improvements to examination procedures and workflows, enhancing efficiency and quality.
- Maintain up-to-date knowledge of examination regulations and university policies, advising senior management on any relevant changes or compliance requirements.
- Contribute to periodic reviews and audits of examination processes to ensure ongoing quality assurance.
Additional Duties
- Manage the logistical needs of the Examinations Unit, including materials and stationary requisitions, to support smooth examination delivery.
- Provide oversight of special accommodations or considerations for students, facilitating a fair examination environment.
- Undertake any other responsibilities as assigned by the university to support the mission of the Examinations Unit.
JOB REQUIREMENTS
- Possess at least Bachelor’s degree in a relevant field such as Education, Social Sciences, Business Administration, or an equivalent qualification.
- Minimum of 5 years of experience in managing examination processes within an academic or educational institution, with a strong understanding of regulatory and operational requirements.
- Proficient in examination regulations, processes, and record-keeping practices.
- High-level organizational skills and attention to detail, with the ability to coordinate multiple priorities and meet deadlines.
- Excellent interpersonal and communication skills to effectively interact with diverse stakeholders.
- Strong decision-making skills with a commitment to ethical standards and integrity.
- Proficiency in Microsoft Office Suite and examination management software.
- Demonstrated ability to work effectively under pressure while maintaining professionalism and customer service orientation.
- Adaptability and initiative to identify and lead improvements in examination practices.
Job Type: Full-time
Pay: RM5,000.00 - RM7,000.00 per month
