Key Responsibilities

Circulation & patron services

  • Manage book loans, returns, renewals, and overdue notices.
  • Issue library cards and assist patrons with account-related inquiries.
  • Provide friendly and efficient customer service, guiding patrons in locating materials and using library equipment (e.g. photocopiers, computers).
  • Refer patrons to the librarian for in-depth research and reference support.

Collection management & organization

  • Assist in cataloging and organizing books, periodicals, and digital resources.
  • Shelve books accurately and perform regular shelf-reading to maintain order.
  • Conduct inventory checks and assist with weeding out outdated or underutilized materials.
  • Maintain accurate records of library holdings and circulation data.

Library space & event support

  • Ensure the library remains clean, organized, and inviting.
  • Arrange and maintain displays of featured materials.
  • Assist with setting up and cleaning up for library programs, workshops, or events.

Technical & administrative support

  • Operate and troubleshoot minor issues with library equipment (e.g. computers, photocopiers).
  • Maintain and update patron and circulation records in the library system.
  • Assist in generating reports and library usage statistics.
  • Report equipment malfunctions and coordinate maintenance as needed.

Outreach & communication

  • Collaborate with the Communications Team to promote library services via newsletters or social media.
  • Assist in organizing outreach activities with tertiary and research institutions, public libraries, government agencies, and partner organizations.
  • Support literacy and research initiatives through book recommendations and digital resource guidance.

Perform any other task as required by management.

Job Requirements

Education

  • Diploma or bachelor’s degree in library science, Information Management, or related field from a recognized institute.

Professional/other relevant certification

  • None.

Experience

  • At least 1 year of experience in a library, academic, or research setting preferred.

Key/technical competencies

  • Strong organizational and multitasking abilities.
  • Good interpersonal and communication skills (English & Malay) for assisting researchers and patrons.
  • Proficiency in library management systems and digital cataloging tools.
  • Ability to work independently and collaboratively in a research-driven environment.
  • Basic knowledge of research methodologies and information retrieval is a plus.
  • Willingness to work flexible hours for events and research support as needed.

*This position is for a fixed term of two years, inclusive of 6-month probation, and will be considered for renewal at the end of the contract.
