Leasing Executive

Job Responsibilities &Duties:

  • Manage day-to-day relationship with the partners and tenants includes operational issues.
  • Support the organization within every area of Tenant Management including assist and support Leasing Manager to attend leasing-related activities to secure and monitor occupancy of the company's properties.
  • Maintaining and sustaining the mall operations from time to time.
  • Responsible for Tenants sales submission (average 95%) and system update.
  • Establish and maintain comprehensive / updated Tenants’ Relations Management database and filing system for all tenants (ie. Sales information, licenses, permits, insurances, agreements and other correspondences).
  • Coordinate, prepare and distribute work orders to relevant department(s).
  • Report, monitor and follow-up with relevant department on tenants’ complaints and resolution.
  • Support Operations in the event that tenant is not adhering to mall’s House Rules, Agreement and other required manuals in the way of recommending approach towards tenants.
  • Collaborate with other departments for improvement of tenants’ performance as well as tenancy and leasing operations.
  • Develop and maintain good relationships with all stakeholders to retain existing tenants and attract prospects for occupancy growth
  • Coordination with Tenant Admin (SO), i.e. tracking of signatory status and sending of documents.
  • Obtaining approval for closure applications, i.e. Festival closure, early closure for co. event, etc.
  • Mailbox key coordination – new handover, replacement of key or lock.
  • Preparing required information prior to Tenants’ meeting.

Leasing Assistant

Job Responsibilities & Duties:

Assist with Leasing Activities

  • Assist on preparation and processing of leasing documents, including prospective tenants' background check, tenancy agreements, renewals and terminations.
  • Assist in scheduling and conducting site visits for prospective tenants.
  • Follow up with prospective tenants regarding their interest and rental proposal.
  • Coordinate with maintenance teams to ensure that any tenant-related issues are addressed promptly.
  • Assist with tenant move-ins and move-outs, including coordinating inspections, handover & surrender of premises.

Administrative Support

  • Maintain accurate and up-to-date records of tenant information such as tenant contact, email, address and tenancy agreement.
  • Prepare marketing materials and update property listings on various platforms.
  • Handle incoming phone calls, emails, and walk-in inquiries in a professional and timely manner.
  • Assist in the preparation of leasing reports and other documentation when required.
  • Monitor tenant utility charge payment by tenant to Building Management or back-charge and any other utility charge by the landlord.
  • Assist in preparing related payment such as Quit Rent, Assessment or others when required.

Marketing

  • Support marketing efforts by posting advertisements on social media and property listing websites.

Financial

  • Assist in the collection of rent, security deposits and admin fees.
  • Prepare and issue rent reminders, notices and tenant correspondent if necessary.
  • Maintain accurate records of financial transactions related to leasing.

Job Requirements

  • High school diploma or equivalent; an associate degree or higher in business, real estate, or a related field is preferred.
  • Previous experience in property management, leasing, customer service, or a related field is preferred.
  • Have experience in Shopping Centre Management / Leasing / Tenant Coordination.
  • Strong customer service skills and the ability to build and maintain positive relationship with tenants.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software.
  • Ability to handle multiple tasks simultaneously and work under pressure.
  • Candidate specializing in property/real estate or equivalent will be an added advantage
  • Strong analytical skills and ability to handle difficult situations
  • Sound knowledge of retail market
  • Knowledge of strata will be an added advantage
  • Experience with indoor Vendor is an added Bonus
