Job Summary:

The Administrative Executive at AdvTech Auto Car Care plays a key role in supporting the Admin & Finance Manager and Managing Director, handling administrative tasks, data entry, and ensuring smooth office operations. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

· Work closely with Admin & Finance Manager and Managing Director.

· Handle data entry tasks, maintaining accurate records and reports.

· Manage office supplies, equipment, and facilities to ensure smooth daily operations.

· Maintain a clean, organized, and efficient work environment.

· Handle documentation, record-keeping, and filing (both physical and digital).

· Maintain confidentiality and accuracy in all company records.

· Organize meetings, appointments, and travel arrangements for management and staff.

· Ensure timely communication and follow-ups for scheduled tasks.

· Draft and manage emails, letters, reports, and memos.

· Respond to inquiries from clients, suppliers, and stakeholders professionally.

· Manage invoices, expense tracking, and petty cash handling.

· Assist with financial record-keeping and reporting.

· Assist with employee onboarding, maintaining HR records, and processing payroll documentation.

· Support day-to-day business operations to improve efficiency and workflow.

Requirements:

  • Diploma/Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience in administrative roles. Open to fresh graduates with a willingness to learn.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and office management tools, as well as AI-based applications.
  • Strong communication and organizational skills.
  • Ability to multitask, work independently, and manage priorities.
  • Attention to detail and problem-solving skills.
