Job Summary: We are looking for a reliable and detail-oriented individual to join our team as an Administrative and Accounts Officer. The ideal candidate will be responsible for managing a range of administrative duties, assisting with accounts and financial processes, and ensuring compliance with legal and regulatory requirements. Key Responsibilities: Administrative Duties: 1. Manage incoming and outgoing correspondence in an organized and timely manner. 2. Ensure efficient and systematic filing and documentation practices. 3. Monitor and manage office facilities and utilities to ensure smooth operations. 4. Oversee office stationery inventory and order supplies as needed. 5. Maintain accurate vehicle records and manage company vehicle usage. 6. Register the company with vendors to participate in open tenders. 7. Handle the relevant certification processes to ensure compliance with tender submissions. 8. Regularly update and maintain the company profile for various purposes. 9. Research and source loan or credit facilities suitable for the company’s needs. 10. Manage project insurance and contractual agreements. Accounts Administration: 1. Ensure timely management of bills and invoices, ensuring all payments are processed within deadlines. 2. Follow up with clients to ensure prompt payment and resolve any payment issues. Company Secretary (Cosec) Support: 1. Liaise with auditors, accountants, and other professionals to manage the company’s annual return, taxes, audit, and management accounts. Qualifications: 1. Proven experience in administrative or accounting roles. 2. Strong organizational skills and attention to detail. 3. Ability to manage multiple tasks and meet deadlines. 4. Knowledge of office management systems and procedures. 5. Familiarity with financial documents, invoices, and payment processing. 6. Excellent communication skills and ability to collaborate with internal and external stakeholders. 7. Relevant certifications or a background in accounting/finance is a plus. Skills: 1. Strong Microsoft Office skills (Excel, Word is a must) 2. Ability to handle confidential information with discretion. 3. Proactive and able to work independently with minimal supervision.
