Job Summary: We are seeking a highly organized, proactive, and adaptable Executive Assistant to support our executive team in a dynamic wellness organization. This role will involve handling administrative tasks and providing cross-departmental support, ensuring the smooth operation of our wellness programs, services, and internal teams. The ideal candidate will be able to manage different tasks from various wellness-related departments, demonstrate excellent communication skills, and have a passion for promoting health and well-being in a corporate setting. Key Responsibilities: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling appointments, and organizing meetings across multiple departments within the wellness organization. Coordinate and organize travel arrangements for the executive team and department members involved in wellness events, retreats, or business travel. Prepare, edit, and proofread documents, reports, and presentations, collaborating with wellness departments such as nutrition, fitness, mental health, and more. Act as a liaison between executives, staff, clients, and external wellness partners, ensuring efficient communication across teams and promoting a culture of wellness. Handle phone calls, emails, and other correspondence on behalf of the executive team, ensuring quick responses to wellness program inquiries and requests. Maintain an organized filing system, both physical and electronic, ensuring all wellness program documentation, client records, and health-related materials are up to date and accessible. Assist with special wellness projects, research, and other tasks as assigned by the executive team, helping develop and implement new wellness initiatives or services. Manage and prioritize incoming requests and issues, delegating tasks effectively to different departments, such as HR, wellness coaches, or fitness teams. Coordinate wellness-related events, workshops, seminars, and retreats, including liaising with external wellness experts and facilitating internal wellness programs. Track wellness program budgets and help manage financial reports, ensuring alignment across departments for resource allocation. Requirements: Proven experience as an Executive Assistant or in a similar administrative support role, with the ability to handle multiple wellness-focused departments. Strong organizational and time-management skills, with a keen ability to prioritize tasks across wellness initiatives. Excellent communication skills (written and verbal) and the ability to collaborate with various departments, including nutritionists, wellness coaches, fitness trainers, and mental health professionals. High proficiency with office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with wellness-related software or apps (e.g., fitness trackers, scheduling tools). Ability to handle sensitive and confidential information, particularly related to wellness programs and client health data. Strong multitasking abilities and attention to detail in a fast-paced, evolving wellness environment. Strong problem-solving skills and an interest in optimizing wellness programs and initiatives.
