In this role, you will mainly assist company secretary with administrative tasks. Additionally, you will also work with JJ HUB’s Treasury Team and Group Treasury to oversee Bank Account Management, Trade Finance Management, and Foreign Exchange Management.
Responsibilities
Commercial & Admin
- Coordinate with Company Secretaries to ensure Jebsen & Jessen Malaysia Group of Companies are following Suruhanjaya Syarikat Malaysia (SSM) and Company Act 1965 and 2016's legal requirement.
- Coordinate with local and overseas Directors for signing Director Board Resolutions.
- Perform asset tagging for newly procured assets and collaborate with internal and external auditor for asset sighting as part of the asset management procedure.
- Liaise with local authorities/government department for application and renewal of licenses.
- Provide backup support for the reception as needed.
- Perform any other ad-hoc tasks & projects as assigned by Sr Admin Executive
Hub
Handle administrative and documentation tasks for account openings and signature changes, coordinating with various internal and external stakeholders.- Assist in carrying out cash flow planning decisions, including handling documentation for dividends, loans, and deposits, while collaborating with different departments.
- Coordinate documentation for implementing banking-related decisions.
- Assist in ensuring compliance with internal and external procedures, regulations, and controls.
- Prepare the Hub Service Level Agreement (SLA) and Commercial Agreement, and follow up on signing for completion.
- Manage cheque deposit efficiently.
- Support process improvements and system automation efforts.
- Perform any other ad-hoc tasks and projects assigned by Hub Team Leads, Managers and Financial Planner Analyst (FPA).
Qualifications
Diploma in Accounting or Business Administration.
Prior experience in treasury, finance, or business administration is preferred, but fresh graduates are welcome to apply.
High accuracy, attention to detail, and ability to multi-task and manage deadlines.
Diplomatic, with the ability to solve problems, build relationships, and communicate professionally with internal and external customers.
Intermediate skills in Microsoft Excel.
