Role Overview

  • The Purchasing Executive supports procurement activities by handling purchase orders, liaising with suppliers, and maintaining inventory records.
  • This role ensures smooth purchasing operations by utilizing catering software for efficient inventory and purchasing management.

    Key Responsibilities

    1. Purchase Order & Supplier Coordination:

    • Process purchase orders and ensure timely delivery of supplies.
    • Communicate with suppliers to confirm orders, delivery schedules, and resolve any issues.
    • Verify invoices against received goods and coordinate with the accounts team for payments.

      2. Inventory Monitoring & Stock Control:

      • Update and manage stock records in the catering software.
      • Assist in conducting stock checks and audits to ensure accurate inventory levels.
      • Coordinate with kitchen staff to track ingredient usage and restock as needed.

        3. Cost Management & Reporting:

        • Compare supplier prices and provide cost analysis reports to the Senior Purchasing Executive.
        • Assist in budgeting and cost-saving initiatives.
        • Maintain procurement records and generate reports for management review.

          4. Administrative & Compliance Support:

          • Ensure all purchasing activities comply with food safety and hygiene regulations.
          • Keep updated records of supplier certifications and product specifications.
          • Assist in software training and troubleshooting for purchasing and inventory tracking.

  • Minimum 2 years of purchasing or inventory management experience.
  • Familiarity with digital procurement tools.
  • Strong negotiation and communication skills.
  • Ability to maintain accurate procurement records and reports.
  • Basic knowledge of food safety regulations and compliance.
  • Proficiency in Microsoft Office and inventory management software.
