Main responsibilities: Answering and transferring telephone calls. Tasks:  Responsible for front desk functions and guest reception.  Handle all telephone calls courteously and professionally. Calls need to be answered in no more than three rings.  Ensure all calls are transferred to the right person and extension.  Take note of telephone messages and relay them to the respective staff accordingly.  Prepare meeting rooms and handle room bookings. Ensure priority is given to top management.  Manage the telephone system and ensure the phone is working at all times. Report any faults in the phone system to superiors as soon as possible.  Attend to all clients, guests and visitors' inquiries at the reception counter and welcome them with proper greetings and smiles.  Coordinate with courier service companies to ensure timely pickup of documents/parcels.  Ensure the reception area is clean and tidy at all times.  Do not leave the reception desk empty and unmanned.  Ensure all newspapers delivered by the vendor are counted and in order. Report any shortages to superiors.  Provide administrative support as and when assigned.  Other tasks related to instructions from Management and/or immediate Superiors from time to time. Requirements:  Minimum Sijil Pelajaran Malaysia or equivalent;  At least 2 years’ experience in receptionist or administration works;  Proficiency in the use of MS Office suite including MS Excel, MS Word and MS PowerPoint;  Proficiency in spoken and written English and Bahasa Malaysia is required;  The candidate should possess good attributes and be energetic;  Being self-motivated, analytical, resourceful and having strong integrity are important qualities; and  A good working attitude.
