JOB OVERVIEW:
The Payroll and HRIS Specialist is responsible for overseeing and managing the payroll process as well as the administration and maintenance of the Human Resources Information System (HRIS). This role ensures accurate payroll processing, compliance with legal requirements, and effective use of HRIS systems to manage employee data. The Payroll and HRIS Specialist also provides support for HR and payroll data analysis, troubleshooting, and reporting needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Payroll Management:
- Payroll Processing: Ensure accurate and timely processing of payroll for all employees, including salary, bonuses, overtime, deductions, and other adjustments.
- Compliance & Reporting: Ensure compliance with federal, state, and local tax laws, wage and hour regulations, and other legal requirements. Generate and review payroll-related reports, including tax filings and year-end reports (W-2s, 1099s, etc.).
- Benefit Deductions: Manage employee benefit deductions, including healthcare, retirement, and other voluntary benefits, ensuring accurate processing.
- Payroll Troubleshooting: Address payroll discrepancies, resolve payroll-related inquiries, and work with employees to ensure any payroll-related issues are handled promptly.
- Record Keeping: Maintain accurate payroll records, including employee pay history, tax documents, and other related records.
HRIS Administration:
- System Management: Oversee the HRIS system, ensuring accurate employee data entry and management, including compensation, benefits, job titles, and personal information.
- System Optimization: Work with HR and IT departments to optimize the HRIS, including system upgrades, new modules, and system integrations.
- Reporting & Data Analysis: Generate and analyze HR and payroll reports, including compensation data, headcount, turnover, and labor costs, to support strategic decision-making.
- User Support & Training: Provide support and training to HR and payroll teams, as well as other employees, on using the HRIS effectively and accurately.
- Data Integrity & Audits: Ensure the accuracy, security, and confidentiality of HR and payroll data. Conduct regular audits of the HRIS to ensure data integrity and compliance with organizational policies.
General Responsibilities:
- Collaboration: Work closely with HR, Finance, and IT departments to ensure seamless integration and communication between payroll systems and HRIS.
- Process Improvement: Continuously review and suggest improvements for payroll and HRIS processes, identifying opportunities for automation and efficiency.
- Compliance & Best Practices: Stay updated on the latest payroll and HRIS best practices, trends, and legal requirements to ensure the organization remains compliant and competitive.
Qualifications:
- Bachelor’s degree in Human Resources, Finance, Business Administration, or a related field.
- Proven experience in payroll processing and HRIS administration (2+ years preferred).
- Strong understanding of payroll tax laws, regulations, and best practices.
- Experience with payroll systems and HRIS platforms (e.g., Workday, ADP, SAP SuccessFactors, etc.).
- Proficiency in Microsoft Excel and other reporting tools; experience with data analysis and reporting.
- Excellent attention to detail and organizational skills.
- Strong communication skills and the ability to handle confidential information appropriately.
- Ability to troubleshoot payroll and HRIS-related issues effectively.
Preferred Skills:
- Certified Payroll Professional (CPP) or similar certification.
- Experience with system integrations and data migrations.
- Advanced data analysis skills (Power BI, Tableau, etc.).
